Primary objective

The Executive Officer provides strategic advice, support and project management services to assist with the coordination of

the Chief Executive Officer’s day-to-day priorities, as well as the timely flow of accurate information to senior executive

staff and key stakeholder groups.

Key duties and responsibilities

1. Provide high-level executive support to the Chief Executive Officer including meeting and secretarial support, research

and project support, financial administration support and oversight of diary management.

2. Manage and coordinate the development and implementation of a range of projects on behalf for the Chief Executive

Officer, including research and analysis of various issues providing solutions and recommendations as appropriate,

manage emerging complex and sensitive issues, policy and administrative processes.

3. Develop, coordinate and process executive correspondence on behalf of the Chief Executive Officer, ensuring high

quality and accuracy of all executive correspondence.

4. Develop, implement and maintain effective structures and systems to continually improve the accuracy, reliability and

quality of correspondence and information flows.

5. Build and sustain collaborative relationships and with a variety of stakeholders, and liaise effectively and discreetly with

all levels of staff within the department, and with external stakeholders, as the first point of contact for the Office of the

Chief Executive Officer.

6. Foster a positive workplace culture through exemplary practices and role-modelling behaviour.

Selection criteria

Essential

1. Demonstrated record of success in working with the executive level and a proven ability to exercise sound judgement,

particularly in respect to political sensitivity and confidentiality.

2. Exceptional organisation and coordination skills, attention to detail and accuracy of written communication, including

proficiency in executive administration.

3. High-level oral communication, interpersonal and networking skills.

4. Demonstrated ability to manage and deliver on projects, prioritise and meet competing deadlines and work under

pressure while maintaining quality of end product.

5. Knowledge and understanding of government and ministerial protocols and procedures.

6. Ability to work effectively in a collaborative and agile team, demonstrating ability and motivation to achieve outcomes

using problem-solving and influencing skills.

7. Ability to perform to a high standard with personal resilience, reliability, integrity and accountability.

8. Ability to work outside normal operating hours.
