UNSW College is looking for a Team Leader Timetabling to join our Student and Program Administration Team. The successful candidate will have relevant tertiary qualifications or equivalent training or experience, a high level of competency in information systems and technology, excellent negotiation, communication, analytical, and problem-solving skills, and the ability to exercise initiative and demonstrate situational leadership skills.
What will you do?
The Team Leader Timetabling will lead a small team responsible for the delivery of scheduling and timetable services to enhance the UNSW College student educational experience and is part of the Student and Program Administration Team supporting UNSW College Education programs. This role is responsible for the analysis and provision of detailed advice and forecasting information on the utilisation of UNSW College’s learning and teaching spaces.
Critical to the success of the role is the ability to ensure that the Timetabling Team supports the admissions and enrolment processes of UNSW College, ensuring that course preferences for students link to admission timelines, enrolment scheduling, and course governance.
Key responsibilities will include but not be limited to:
• Manage the production of UNSW College’s timetables, working with colleagues to proactively and accurately maintain and update timetable software to reflect timetable activity, resource bookings, and rescheduled classes within the agreed policies and timeframes.
• Set up and oversee effective timetabling processes and procedures and ensure effective communication across UNSW College and UNSW to ensure that the necessary data is correctly provided.
• Contribute to strategic modelling and analysis, and future room planning. Develop a suite of reports to inform management decision-making, including reporting in relation to occupancy, staff, space utilisation and cost per head.
• Develop strong and effective relationships with the student and academic communities and key departments including Heads of Department and Course Conveners together with relevant external stakeholders, suppliers, and /or agencies.
• Ensure that the Timetabling Team provides high-quality, efficient, and effective customer service to all stakeholders.
The successful applicant will have (but not limited to):
• Relevant tertiary qualifications or equivalent training or experience.
• Demonstrated experience in leading a small team.
• Proven experience in a similar role with direct experience in scheduling/timetabling in a complex environment.
• Proven experience using timetabling technologies (e.g. Syllabus Plus, TimeEdit, CELCat, Schedule etc).
• Excellent people skills and a demonstrated capacity to form, build and maintain effective working relationships with people at all levels within UNSW College, UNSW, and software vendors.
• Demonstrated ability to prioritise tasks, meet deadlines, and maintain a high degree of accuracy within a high-pressure work environment.
