Position Overview: We are seeking a detail-oriented and organized Office Administrator to join our clinic in the Comox Valley. As the Assistant Office Administrator, you will play a crucial role in ensuring the smooth and efficient operation of our clinic’s administrative functions. Key Responsibilities:
Greeting and assisting patients, visitors, and healthcare professionals in person and over the phone.
Scheduling appointments and managing the clinic’s calendar using electronic scheduling systems.
Handling patient inquiries, providing information about services offered, and directing calls to appropriate staff members.
Maintaining patient records and ensuring confidentiality and accuracy in all documentation.
Assisting with administrative tasks such as filing, photocopying, and managing correspondence.
Collaborating with the clinical team to coordinate patient care and ensure seamless communication.
Qualifications:
Previous experience in an administrative role, preferably in a healthcare or clinic setting.
Strong organizational skills and attention to detail.
Excellent interpersonal and communication skills, both written and verbal.
Proficiency in computer applications such as Microsoft Office (Word, Excel, Outlook) and electronic medical records (EMR) systems (may offer on job training for the right candidate).
Ability to prioritize tasks and work efficiently in a fast-paced environment.
Knowledge of medical terminology an asset
Ability to maintain confidentiality and handle sensitive information with discretion.
