Job Description
Reports to: Site Director
Responsibilities
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Manage all Charitable Donation request
Responsible for ordering and maintaining inventory of office supplies and lunchroom supplies
Maintain master contact lists of preferred vendors
Book travel arrangements as required
Submit and reconcile expense reports for Site Director
Head the United Way Campaign for the site in conjunction with Union
Interact with Community groups as site representative and head up initiatives (Riverlights)
Provide general support to site visitors
Act as the point of contact for internal clients
Coordinator of Site Engagement Activities
Invoice administration using SAP and any other software
Site Champion for Global training agenda
Back fill for Resource Planner
Create and manage non-stock purchase orders
Manage site Parked & Blocked list to ensure goods receipts are completely regularly and purchase orders are reconciled in a timely manner
Complete monthly and quarterly tax and utility payments through the DBS toolkit online payment portal
Financial Responsibility
Follows Diageo Canada order processes and guidelines.
Management Responsibility
No supervisory responsibilities.
- Experience
- Minimum three years experience and/or training; or equivalent combination of education and experience.
- Strong organizational skills, ability to work quickly and accurately under pressure.
- Intermediate Microsoft Word and Excel. Experience with SAP or other ERP system strongly preferred.
- Accurate and quick data entry.
- Must have strong communication skills.
- Bilingualism (French/English) preferred.
- KEY RESPONSIBILITIES
