Elk Ridge Resort is looking for a full time, year-round Events Manager who is integral to the success of the Operations Management team. Reporting to the Director of Operations, the Events Manager will be the main point of contact for Events on Resort. They will coordinate with sales, operational departments, and groups to ensure consistent, high-level service throughout pre-event, event and post event phases of hotel events. They will recognize opportunities to maximize revenue opportunities by up-selling and offering enhancements to create outstanding events.
Specific Responsibilities:
Operations
- Completion of contracts, ensuring accuracy and completion in a timely manner.
- Create, manage and distribute Banquet Event Orders and floorplans in a timely manner to the Client and to the Operations teams.
- Facilitates various meetings as necessary (Banquet Event Order meeting, block review, etc.)
- Manages group room blocks and meeting space for assigned groups.
- Create Group Resumes and distribute them in a timely manner and hold regular meetings, to ensure all departments are prepared and updated for each group’s arrival.
- Leads pre-event and post-event meetings for group/clients.
- Proactively identifies operational challenges associated with group and works with the hotel staff and customer to solve these challenges and/or develop alternative solutions.
- Greets customer during the event phase and works alongside Banquet team to ensure event is executed according to Elk Ridge Standards.
- Responsible for financial management of events, from quoting to final billing, invoicing, and taking payments.
Guest Satisfaction/Relationship Management
- Responsible for building and maintaining successful and mutually beneficial relationships with clients throughout the planning, execution, and follow-up, ensuring client retention
- Sets a positive example for guest relations.
- Consult with customers to determine a comprehensive needs analysis.
- Interacts with guests to obtain feedback on product quality and service levels.
- Effectively respond to and handle guest problems and complaints.
- Conducts pre- and post-event meetings as required to review/communicate group needs and feedback; post event feedback follow up and summary of all events to be sent to Director of Operations.
Sales and Revenue Management/Business Development
- Effectively up sells products and services throughout the event process.
- Effectively manages client budgets to maximize revenue and meet customer needs.
- Accurately forecasts event/accommodations revenue for groups.
- Provides regular sales reports to Senior Management.
- Liaises with Sales Manager in terms of securing business acquisition with focus on event space, guestrooms, and additional services.
- Be aware and in contact with comp set counterparts.
IDEAL CANDIDATE
- The successful candidate must have 2-3 years’ experience in an Events Related position and a minimum of one year in sales
- This is a full-time salaried position and the expectation is that the position reports to work five (5) days per week on site at Elk Ridge Resort and if required, may be instructed to work additional time due to any special events that may be occurring. Evening and weekend availability is required
- Tripleseat Event Management Software experience an asset.
- Maestro PMS experience an asset
- Highly organized and ability to multi-task with keen attention to detail
- Strong communication, interpersonal, and guest service skills
- Quick and creative problem-solving skills
- Ability to learn, adapt, and be efficient in a fast-paced environment
- Proficient in Microsoft Applications word, excel, power point and outlook
