Job Posting for Golf Events Coordinator at Hazelmere Golf Course
Hazelmere Golf and Tennis club requires a Golf Events Coordinator. This key person will plan and execute golf tournaments ensuring a high level of satisfaction with any event hosted at the facility.
Job Summary
The golf events coordinator works with new and returning clients to plan and execute any golf event on the property. This includes coordinating with the external event planners parameters, with all support staff, banquets staff, and management as needed while following Hazelmere policy.
Job Duties
Responsible for the selling and booking of golf tournaments.
Respond in a timely manner to all email and telephone communications with future, current and past clients including corporate events, professional events and special member events.
Coordinating with the Food & Beverage department for tournaments requiring banquets or meal services.
Obtain deposits and take payments for all events in a timely manner in accordance with outlined deadlines for each event.
Prepare and modify event contracts and invoices as required.
Be knowledgeable in the event reservation system and to book event tee times in Golf POS system.
Confirm all event related information with clients and record details in golf event order.
Prepare all materials required for each event specifically (ie. cart signs, scorecard labels, rules sheet, etc.)
On event days, the events coordinator will be present to coordinate and direct any involved staff members to execute the event and fulfill the event order details. Plus proactively handle any arising issues and troubleshoot any emerging problems on the event day.
Establish and maintain rapport with clients prior to, during, and post event thus encouraging repeat business.
Conduct pre and post event evaluations and report on outcomes to management.
Qualifications and Skills:
Outgoing, social and welcoming to all guests.
Excellent administration, organizational and time management skills.
Must be detail oriented and manage a varied workload.
Proven ability to thrive in a fast paced client/guest-focused environment, using initiative and working well under pressure to prioritize and consistently meet deadlines.
Be able to communicate confidently with a wide range of individuals and organizations in a welcoming, friendly and timely manner through email, phone and face-to-face interactions.
Ability to generate and promote marketing ideas and materials.
Requirements:
Past experience in a direct customer service environment, preferably with a role in the golf or hospitality industry.
Computer literacy and systems proficiency is required.
Flexible work schedule with varied hours and days worked.
On site presence during golf events days.
General knowledge of golf an asset, but not required.
Job Type: Permanent with Possible full-time if willing to take on other job duties.
Salary: Negotiable - based on experience.
