About Mission Possible
Mission Possible is a non-profit organization and social enterprise located in Vancouver’s Downtown Eastside. We support individuals challenged by homelessness, poverty, addiction, mental illness, and other barriers to employment to achieve a renewed sense of dignity and purpose through meaningful work. Through our Employment Readiness Program, and our social enterprises, MP Maintenance & MP Neighbours, we equip our program participants with the skills, confidence, and support they need to rejoin the workforce and rebuild a self-sustaining livelihood for themselves.
Job Summary:
The Manager of Administration (MOA) gets to empower the life-changing systems and operations of a unique and forward-looking community economic development agency. Through oversight of the resources, including people, finances, and facilities, the MOA will continue to deepen the impact that Mission Possible is making in the Downtown Eastside of Vancouver
Key Areas of Responsibilities:
Finance:
- Oversee financial management, working closely with the Controller to ensure accuracy, compliance, and efficiency to financial policies and procedures
- Provide financial analysis and reports to support decision-making by the Executive Director and Board of Directors
- Collaborate with external auditors, tax advisors, and other financial consultants as required
- Ensure timely and accurate processing of accounts payable, accounts receivable, payroll, and other financial transactions.
Human Resources:
- Oversee human resources, working closely with the People and Culture Coordinator to excel the below functions:
- Provide strategic direction and leadership in all areas of HR management
- Develop, get approval, and implement HR policies, procedures, and initiatives that align with organizational goals and promote a positive work culture
- Oversee recruitment and onboarding processes for both permanent and temporary staff
- Manage performance evaluation systems and employee development programs
- Ensure compliance with employment laws and regulations
- Handle employee relations matters, conflict resolution, and disciplinary actions when necessary, while collaborating with the Leadership Team as needed
- Manage employee benefits and payroll administration, including bi-weekly payroll processing, and make recommendations to the CEO for approval of any changes
- Oversee the Health and Safety program and ensure it is in compliance with WorksafeBC, insurance requirements, and any other governing bodies
Administration:
- Supervise and provide guidance to administrative staff, ensuring efficient and effective office operations
- Monitor and manage office supplies, equipment, and facility maintenance
- Collaborate with maintenance system providers to address facility maintenance needs and ensure a safe working environment
- Oversee contracts and agreements with external vendors and service providers
- Maintain accurate and up-to-date records and documentation related to administration, finance, and HR
Planning and Strategic Development:
- Work with the Leadership Team to support the creation and execution of the strategic objectives of Mission Possible
- Foster a culture of continuous improvement (CI) within the administrative, finance, and HR functions
- Identify opportunities for process enhancements, efficiency gains, and cost savings
- Encourage staff engagement in CI initiatives and provide necessary support and resources
- Meet weekly with the Deputy Director and provide relevant updates and information
- Participate in quarterly conversations and annual reviews with the Deputy Director
- Set annual goals and quarterly rocks with the Leadership Team
- Other duties as assigned by the Deputy Director or Executive Director
Our ideal candidate has:
- Excellent oral communication skills and superior organizational skills
- Ability to multitask and balance a varied workload
- Ability to see the potential in people and opportunities to connect them with
- Ability to work within a team environment, but can also work independently
- Proficiency with Microsoft Office applications and Google Suite
- A class 5 Driver’s Licence
- Willingness to complete a background check
Experience:
- Experience working in customer relations is an asset
- Experience in a for profit environment is an asset
- Experience working in the Downtown Eastside community is an asset
- Coaching experience is an asset
- Class 5 Driver’s License is an asset
- Or the equivalent combination of related skills and experience
