Fundraiser/Event Planner

Rosewood Manor is a non-profit care home, located in Richmond, British Columbia, Serving the Richmond community since 1982, Rosewood Manor provides care and services to 145 frail seniors.

Reporting to the Executive Director, the event planner provides end to end support for all event initiatives. The fundraiser/event planner is responsible for researching and writing grant proposals to attain funds for major capital projects and for supporting specialized services for frail seniors. The grant writer monitors and analyzes donation trends, provides regular reports, maintain contact with past donors, and make recommendations to improve fundraising efforts.

$30.00/hr 6-months term contract

22.5 hours /week

Work is on site

Need to live in Vancouver.

Responsibilities

  • Event planning, design and production while managing all project delivery elements within time limits
  • Liaise with clients to identify their needs and to ensure customer satisfaction
  • Conduct market research, gather information and negotiate contracts prior to closing any deals
  • Act as the primary liaison between Foundation Fundraising Committee, the Foundation, and external vendors to ensure seamless execution of events
  • Provide feedback and periodic reports to stakeholders (e.g. Executive Director, Foundation Directors, etc)
  • Propose ideas to improve provided services and event quality
  • Organize facilities and manage all event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc
  • Supervise the execution of all event related logistics, including rentals, contracts, purchase orders, RSVPs, advertising and collection of contact details and required event information
  • Ensure compliance with insurance, legal, health and safety obligations
  • Specify staff requirements and coordinate their activities
  • Cooperate with Executive Director to promote and publicize event
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Manage event debriefs and producing evaluations to inform future events
  • Research market, identify event opportunities and generate interest

Key Tasks

  • Develop media strategies and public relations activities
  • Co-ordinate and monitor conference and meeting activities and attend to related details
  • Co-ordinate set-ups, staging, seating, parking, communication systems and other details for special events
  • Set up and monitor, or arrange for the setting up and monitoring of multi-media equipment
  • Plan schedules, goals and objectives
  • Research and design special events programs
  • Develop policies and procedures and attend to other management responsibilities
  • Manage Event Logistics

Qualifications

  • Minimum of 5 years of experience in event planning, hospitality, marketing or fundraising
  • College or university degree in related field
  • Strong project management skills and demonstrated event management success
  • Excellent verbal and written communication skills in English, verbal fluency in Chinese (Cantonese or Mandarin) an asset
  • Strong critical thinking, problem solving, and interpersonal skills
  • Highly organized planner capable of managing a range of assignments and meeting multiple deadlines
  • Ability to adapt, multi-task and manage multiple events with various deadlines and thrive with ambiguity
  • Exceptional interpersonal skills and professional presence necessary to interact with donors, senior volunteers and stakeholders
  • Experience working with venues, A/V vendors, lighting and décor companies
  • Sound computer skills and experience with Microsoft Office, particularly Excel, Google applications, and donor management platform applied to the preparation of proposals, reports and presentations
  • Flexibility to work evenings and weekends, as necessary

Job Type: Fixed term contract
Contract length: 6 months

Salary: $30.00 per year
