Position Summary:
1200 Pharma, LLC is looking for an Office Manager who will be responsible for assisting with day-to-day office operations. The Office Manager will work closely with executive-level staff and other staff members to ensure administrative tasks are completed and that the business functions efficiently. The Office Manager is responsible for fulfilling requested duties as assigned by the manager including but not limited to distributing mail, greeting clients and visitors, and performing other general office clerk duties and errands.
This position will also support the clinical operations office in conducting clinical trials globally. These trials test novel therapies in various types of cancer and are part of 1200 Pharma’s mission to eradicate cancer through effective and safe drug therapies. Though not directly in the clinic, this position will support the behind-the-scenes efforts to ensure that the clinical staff have the materials needed to conduct the studies and indirectly be part of the patient’s journey in fighting cancer.
To be considered, you should be efficient in office operations, a self-starter, possess excellent communication skills, and be able to juggle multiple tasks. Top candidates will have strong organizational, critical thinking, and interpersonal skills.
Key responsibilities for the Office Manager include:
- Administrative support for executive-level team and other staff:
- Perform general office clerk duties and errands
- Maintain invoicing system with accounting department
- Track and fulfill study supply requests
- Purchase study supplies, track and record invoices, and maintain up to date and accurate inventory of supplies.
- Print and ship study related documents upon request to study sites
- Occasional travel may be required to study sites in Los Angeles area for supply drop off and pick up
- Building operations support:
- Greet clients and visitors as needed
- Organize and maintain office common areas
- Maintain office supply inventory
- Maintain office equipment as needed
- Provide excellent customer service and maintain relationships with vendors
- Event planning support:
- Coordinate food ordering and events as necessary
- Coordinate both in-person and virtual meetings by arranging logistics, coordinating schedules, and preparing necessary materials as requested
Requirements:
Minimum Education
High school diploma or associate degree
Preferred Experience
- Previous experience in a similar role
- Ability to work well under limited supervision
- Experience with purchasing or supply management
