Job Description:

We provide a professional atmosphere for organizations to work and focus on key clients in the Cincinnati region while allowing the 1628 staff to handle the day-to-day logistics of facility management.

1628’s Community Manager is responsible for the day-to-day operations and experience of 1628Ltd’s members and guests. With a hospitality mindset, the Community Manager provides direct service and is the main contact to anyone interested in, working from, or hosting an event at 1628. They ensure the mission of exceptional customer service is successfully executed across the organization, delivering on 1628’s commitments to members and guests, and are instrumental in all business aspects, directly impacting memberships, sales, and retention.

Responsibilities include but are not limited to:

Operations:

  • Reviews, understands, and illustrates 1628’s core values, vision, and dedication to hospitality and providing a high-caliber experience for members and guests.
  • Reviews, develops, and maintains operational practices and standards to ensure optimal efficiency for the 1628 and its members, ensuring members and guests have an enjoyable experience
  • Collaborates with CEO, part-time team members, interns, and co-ops to review weekly and monthly events and needs; including inventory, sales goals, event set-up, and staffing
  • Provides front desk support by:
  • Welcoming, directing and monitoring all office activity of members, visitors, guests, and contractors on premises. Answer questions and support the needs of those working at 1628.
  • Books conference rooms, events, and membership needs through Nexudus software
  • Manages email correspondence, makes arrangements for members as requested (restaurant reservations, transportation, mail, and shipping), and ensures concierge services are offered when applicable.
  • Maintains relationships with local restaurants, hotels, and entertainment venues and train/update staff on an ongoing basis to ensure current information is provided to members.
  • Ensure smooth, day-to-day operations of 1628, including tasks such as:
  • Brewing coffee, stocking office supplies, or managing maintenance and repair needs.
  • Conducts inspections of the facility, ensuring space remains clean by straightening up, temperature, speaker volume, and overall ensuring a memorable visit for each member.
  • Problem-solves member-related issues in a professional manner to ensure a cohesive community and manage member expectations
  • Masters coworking software platform, Nexudus, used for billing, door access, event management, and reservable resource management.
  • Addresses technology-related questions specific to the facility (i.e., teleconferencing, Wi-Fi, video conferencing, etc.)
  • Manages heavy volume of customer interaction and multitasks in an extremely fast-paced environment.
  • Helps manage member move-ins and move-outs and orientations as needed
  • Supports internship and co-op students throughout their employment

Communications, Marketing, & Sales:

  • Manages communications and relationships with members and general public through newsletters, phone, onsite flyers and notices, and across social media platforms.
  • Point of contact for 1628 Membership sales, including identifying and following up with sales leads, converting prospective members, and conducting facility tours and o
  • Develops strategic marketing campaigns to generate sales leads and increase visibility of 1628
  • Maintains and develop community relationships with local media, events, and community partners such as Kinley Hotel, Luminary, Thunderdome, and Cincinnati Magazine, etc..

Events:

  • Coordinates third-party (social and business) events and serve as the primary onsite contact for organizations and groups using 1628 to host an event.
  • Sets up and breaks down events, including arranging furniture and tables, setting up Soundsystem and wireless microphones, and any catering or bar needs.

Minimum Qualifications:

  • High School diploma or GED required. Must have demonstrated two (2) to four (4) years of customer service/hospitality and/or event planning experience with a focus on building strong relationships with current or potential customers.
  • Strong experience and knowledge of Microsoft Word, Excel, and PowerPoint required.
  • Must possess demonstrated skills in the following areas; strategic thinking, creative problem-solving, strong conflict resolution skills, detail-oriented organizational skills, and exceptional verbal and written communication skills.
  • Employees of 1628 are required to present a professional image at all times. Strong customer service dealing with executive-level individuals is a must.

Preferred Qualifications:

  • Bachelor’s degree in Marketing, Communications, Business, Entrepreneurship, Hospitality, or a related field.
  • Passion for entrepreneurialism and community building
  • Self-starter who can work independently
  • Highly dependable
  • Knowledge of: Typeform, MailChimp, Eventbrite, Nexudus, GSuite, Meta Platforms, and Canva a plus

The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move items up to 20 pounds and must occasionally lift or move items over 20 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
