The Front Desk Manager is responsible for creating a warm, friendly, inviting atmosphere for those visiting the client’s office including customers, business partners, prospective employees, and vendors.
Responsibilities:
- Greet all guests and create a warm welcoming experience.
- Oversee appearance of the reception and conference room areas; ensuring they are always presentable and ready to welcome visitors, interview candidates and VIP guests.
- Answer and route phone calls, and determine appropriate contacts for caller.
- Serve as the point of contact for internal employee badge issues (lost, etc).
- Manage guest security badges; documenting check-in/check-out
- Manage deactivation of security badge or fob if lost.
- Act as the primary contact for any building related issues and place service request tickets with Building Maintenance (i.e. HVAC/climate control requests, spills, damage to structural space, etc.)
- Assist Facilities with internal employee moves and space assignments.
- Perform routine inspections for lobbies, conference rooms, convenience centers and all public areas; and ensure areas are thoroughly clean and inventories maintained.
- Responsible for inventory management, ordering and stocking of all kitchen and workroom office supplies.
- Administrative support with projects.
- Receive and sort incoming mail and packages. Alert recipient upon arrival.
- Prepare USPS Mail & Accountable Express packages for outbound shipments.
- Manage the office postage systems and provide monthly usage reports.
- Manage Office Moves for 5 regional site locations.
- Research and vet commercial move vendors.
- Contact Commercial move vendors and request quotes for move and disposal of any unwanted furniture.
- Collect example COIs from move vendors.
- Create document providing furniture information for architect review/planning.
- Responsible for managing Furniture Asset Inventory Project for 8 regional site locations.
- Assist with research and tracking for PCAOB Intentional Gatherings & Office Events o Work with PCAOB facilities contact to streamline the process.
- Secure locations, provide and order meal options, ensure teams invitations are correctly sent, communicate with POCs as requested.
- High School diploma or GED Preferred
- Excellent customer service skills
- Proficient in Microsoft Office 365 (Excel, Word, Outlook)
- Able to effectively communicate with all levels of the organization
- Written and oral Communication skills Physical Requirements
- Able to occasionally lift up to 50 lbs.
