Job Summary:
Serves visitors by greeting, welcoming, and directing appropriately. Notifies company personnel of visitor arrival. Attends to visitors and deals with inquiries on the phone as well as face-to-face. Supplies information regarding the organization to the public, clients, and customers. Maintains security and telecommunications system.
Job Duties:
- Answers all office phone calls
- Directs digital faxes
- Sends/receives and disburses mail daily
- Sends/receives FedEx shipments
- Orders office supplies (maintains office inventory)
- Maintains company apparel inventory
- Maintains common areas (reception/conference)
- Maintains kitchen area and kitchen inventory
- Closes down office at the end of the day including turning off lights, shutting/locking doors
- Data entry
- Coordinates and implements general office services such as appointment-setting, and records control
- Locates and compiles information. Formats reports, graphs, tables, records and other sources of information
- Assists with special events planning
- Operates personal computer to access e-mail, electronic calendars, and other basic office support software
- Other administrative duties as assigned or requested
- Schedules personnel for approved travel on commercial flights, trying to economize wherever possible.
- Assists in obtaining the best possible rates for hotel or motel accommodations and automobile rental
- Coordinates building cleaning
- Signs visitors in and out
- Human Resources tasks as assigned
Qualifications:
- High School Diploma or GED
- Three (3) years of related experience. (Additional education may be substituted for years of work experience)
- Intermediate knowledge of computers and Microsoft Office including Excel
- Ability to exchange non-routine information using tact and persuasion as appropriate.
- Strong, detail-oriented organizational skills
- Cheerful attitude and willingness to adapt to a fast-paced work environment
- Ability to multi-task
- Excellent communication skills (oral and written) and a strong telephone presence
Job Type: Full-time
Pay: $17.00 - $20.00 per hour
