Role and Responsibilities The role will be responsible for the architecture of the document and data management system. This includes designing and developing policies, procedures, user management, restrictions and access, file classification, digitalization and management of the lifecycle of the document (creation, records, disposal), with the aim of ensuring security, compliance, information confidentiality, users’ ease of use, training provision, business continuity, continuous improvement or modernization. The role will perform quality control functions that includes audit, proofreading, and make amendments as necessary. The role can be based in either Homebush, NSW or Brisbane, QLD locations Key Responsibilities will include but are not limited to: Accountable for the architecture or design of document and data management system or structure. Accountable for the management of digital (DCC SharePoint) and physical libraries. Accountable for the associated records of the lifecycle of the documents which includes creation, review outcomes or disposal. Train staff on the DCC processes Respond to project documentation enquiries from project teams, the client, supplier and sub-contractors. Reviewing written technical documents for clarity, grammar, spelling, punctuation, content, and style. Making any necessary corrections to technical documents. Ensuring that all written content meets our company's standards. Creating templates for authors that are easy to apply and adapt. Ensures effective management of controlled data via acceptance, release, quarantining, transfer and disposal of data in accordance with the ITAR/EC regulations, Defence Security, contracts, standards and CAE policies Develop and sustain document and data control policies, processes, procedures and work instructions. Abide by CAE Environment, Health and Safety policies and procedures. Participate in continuous improvement or innovation activities. Actively participate in all regulatory and internal audits of the facility. Available after hours by exception to solve/escalate urgent matters. 2-5 years experience in a similar administrative role Note: As the Australian Department of Defence is a major client, you must be eligible for NV1 Defence security clearance, and preferably already hold a current NV1 Defence security clearance.
