We are currently seeking a Contract Representative who is responsible for servicing contract functions and overall functions of the Contracts Administration Department. This includes order processing, contract processing, tracking contractual commitments, reviewing customer specifications and other functions as assigned.

Essential Functions:

  • Review contractual commitments, customer specifications, websites, and/or related information to determine compliance, planning and support requirements.
  •  Develop and manage pricing, and key performance indicators to ensure work consistency of contract integrity.
  • Coordinate all invoicing with accounting; verify pricing accuracy prior to invoicing and research all discrepancies.
  • Ensure all jobs logged in are under current pricing parameters, research discrepancies.
  • Monitor all masters jobs to correct A-1 Index Pricing.
  • Create new Master numbers as needed.
  • Coordinate with all CSRs to ensure all system exceptions have been resolved prior to releasing jobs to the shop.
  • Monitor emails from and to customers, Sales and Staff pertaining to job log in’s.
  • Monitor all Customer web sites for accuracy and daily changes regarding releases, model changes.
  • Ensure all numbers match with Accounting.
  • Oversee the job log-in process, make sure all jobs have proper log-in sheet summary with all proper information included at the time of log-in.
  • Contact all customers at the time of log-in to verify information given on summary sheet and requested delivery date. Ensure that model, elevation, garage orientation and options match log-in and customer P.O. or release paperwork.
  • Coordinate all invoicing with Accounting; verify pricing accuracy prior to invoicing and research all discrepancies.
  • Confirm that all customer and A-1 production contracts are in compliance and are executed properly by senior leadership.
  • Providing hands on training to all new staff. Teaching them the processes for logins, pricing, contracts.
  • Other duties as may be assigned.

Required Skills:

  • Proficiency in MS Office Suite
  • Good verbal and written communication
  • Worked in Contracts Administration or related position for a minimum of 3 years

Education:

  • Associate degree or equivalent from two-year college/technical school experience and/or equivalent training

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
