Systems Analyst

The Systems Analyst is responsible for providing application support and system optimization the Health Center and Behavioral Health (BH) department. The Systems Analyst optimizes the Epic electronic health record (EHR) system by improving workflows, integrating technologies, and enhancing user satisfaction. This role includes troubleshooting, Tier 1 support, and creating essential reports, to improve efficiency and support high-quality patient care.

Duties and responsibilities

  • Execute work according to standard operating procedures (SOPs) and job aides to ensure consistency and compliance with established guidelines.
  • Provide regular work plan updates to the Systems Manager and identify retraining needs. Develop, maintain, and enhance Information Services (IS) team documentation, including procedures, job aides, user guides, tip sheets for accuracy and user clarity.
  • Resolve day-to-day application needs including clinical applications setup, resolving application errors, training issues, and user account setup and maintenance.
  • Follow IS Change Management policy by creating requirement documents and test plans on new system features and updates.
  • Manage Epic user onboarding and offboarding processes, perform account access audits, and ensure system security. Provide direct support to clinical operations and patient care teams, assisting new users and facilitating acceptance, integration and effective use of Epic upgrades and features.
  • Administer administrative tools and specific areas of Epic exclusive to Systems Analyst support, including Smart Phrases, Smart Lists, Epic user account security, workstations, printers, and patient merge.
  • Collaborate with clinicians on system requests, including adding diagnoses and procedure codes, assisting user creation of SmartPhrases, and supporting clinical tools or workflows.
  • Collaborate with OCHIN and oversight or advisory workgroups to optimize system usage by implementing new Epic features and upgrades.
  • Collaborate with internal Epic Super Users to test and transition new features and updates.
  • Submit and track Jira tickets to OCHIN support, as approved by the Systems Manager. Serve as the Epic applications expert and OCHIN liaison at clinic department meetings.
  • Complete the OCHIN Epic Clinical Content Builder Program to enhance expertise in clinical tools.
  • Conduct ad-hoc data analysis using tools such as OCHIN Epic Reporting Workbench, OCHIN Epic
    Clarity database querying, OCHIN Epic Crystal Reports, OCHIN Epic SAP Business Objects, Excel, and SQL to support data-driven decision-making.
  • Complete other duties and related projects as assigned.

Qualifications

Education & Experience:

  • Demonstrated ability to effectively perform the responsibilities outlined above.
  • Bachelor’s degree in health information informatics, Information Technology, Health information management, or a related field or equivalent experience.
  • 2 years or more work-related experience.
  • Prior experience supporting or training an enterprise Electronic Health Records software is required.
  • OCHIN Epic experience is preferred.
  • Prior healthcare/clinical experience is preferred (i.e. Medical Assistant, Registered Nurse, Dental Hygienist)

Knowledge, Skills, & Abilities:

  • Data analysis experience and proficiency in SQL preferred or candidate needs to express a strong interest to learning SQL once hired; focus on health data preferred.
  • Proficiency in other data reporting and development tools such as Tableau, Crystal Reports, Business Objects desired but not required.
  • Excellent interpersonal skills for collaborating across multiple sites with diverse stakeholders, including clinicians, IT staff, external agencies, and support vendors
  • Ability to learn new skills/software with minimal guidance.
  • Problem-Solving and Analytical Skills, with demonstrated initiative.
  • High level of project management skills & the ability to handle multiple tickets and projects simultaneously, with flexibility to meet deadlines and end-user expectations.
  • An understanding of clinical workflows, medical terminology, and health care regulatory requirements

Working conditions

Work is conducted in a standard office environment. Occasional evenings and weekend work is required. Schedule: Monday-Friday: 8:30 AM – 5:30 PM on-site, hybrid schedule can be considered; may need to work late evenings/weekends.
