This position works out of our Abbott Park, IL location in the CHR Corporate Human Resources division.
The resource scheduler will Provide administrative support to the Executive Services department including scheduling support for Executive Limo and STAR resources. Provide support for the Executive Auto program including vehicle licensing and registration tracking and the creation of monthly reports. Provide problem resolution support for all Executive Limo and STAR Program-related services. Must be able to determine appropriate escalation levels for problem resolution. Provide information and assistance to clients regarding Executive Limo and STAR Program scheduling. Apply business knowledge and experience to identify, recommend, and assist in implementing solutions to business problems. Works with customers on activities of moderate to high complexity and confidentiality.

The base pay for this position is $22.00 – $44.00 per hour. In specific locations, the pay range may vary from the range posted.

What You’ll Work On
- Responsible for compliance with applicable Corporate and Divisional Policies and procedures.
- Perform work using basic to intermediate knowledge of existing business software and standard systems.
- Provide Executive Auto support for vehicle license and registration and monthly reporting.
- Process Executive Limo and STAR Program reservations in all scheduling systems for all clients as needed. Requests are taken from phone calls, voice mail, email, fax, and scheduling applications.
- Provides Executive Limo and STAR Program reservation acknowledgments through email and follow up as needed.
- Escalate scheduling conflicts to management as appropriate. Work with the Executive Chauffeurs as needed for scheduling questions.
- Manage the Limo schedule to limit scheduling trips requiring overtime.
- Triage related problems and route to resolve. Must be able to resolve basic scheduling issues within scheduling software.
- Process and address all incoming requests including voicemail and emails.
- Research, resolve and respond to clients with appropriate communications.
- Run weekly, monthly, quarterly and annual reports for departmental metrics.
- Prepare and present reports to management for review.
- Recommends a solution to, and participates in departmental initiatives that enhance customer efficiency and/or productivity.
- Completes expense reports for department.
- Manages calendars for department personnel as needed.
- Frequently interacts with high-level executives.
- Works closely with Executive Admins to schedule Executive Limo and STAR Program for confidential trips for Corporate Officers.
- Frequently handles sensitive information communicated during transactions so discretion is required. Improper scheduling of Executive Limo trips could result in a corporate officer being late for an important meeting with high-ranking executives of Abbott and other companies. Attention to detail and follow-through is a must.
- Work directed by customer and/or management. Exercises moderate latitude in approach to problem identification and resolution. Requires limited direction in executing routine tasks.
- May function as departmental representative to customer's internal peers and external vendors and other contacts.
- High School Diploma or GED
- Requires ability to understand and carry out assigned duties effectively.
- Knowledge needed of specialized business processes such as elementary accounting procedures, operation of equipment such as copiers and fax machines, Excel & Access, and normal office procedures
- 2 years of relevant experience
- Associate degree preferred
- Excellent communication skills
- Mastery of Microsoft Suite
