ABM is looking for an Administrative Assistant. The ideal candidate will be responsible for providing administrative support to faculty and staff ensuring efficient office operations and contributing to a positive and productive work environment. Pay: $19.00/hr
The pay listed is the hourly range or the hourly rate for this position. A specific offer will vary based on the applicant’s experience, skills, abilities, geographic location, and alignment with market data.
401(k) – You become eligible to make personal contributions beginning the first of the month following 30 days of employment. You become eligible for the ABM match beginning the first of the month following six months of employment. ABM matches your pre-tax and/or Roth contributions, dollar for dollar, for the first 3%. For the next 2%, ABM contributes $0.50 for each dollar you contribute. Your contributions and match are immediately vested.

Key Responsibilities:
- Provide administrative support to faculty and staff, including scheduling appointments, managing calendars, and organizing meetings.
- Serve as the first point of contact for faculty, and visitors, providing assistance and directing them to the appropriate resources.
- Handle incoming phone calls, emails, and correspondence, responding promptly and professionally.
- Maintain and update office records, databases, and filing systems.
- Assist in the preparation and distribution of reports, presentations, and other documents.
- Coordinate and organize meetings, and activities.
- Order and maintain office supplies, ensuring all necessary materials are available.
- Process invoices, expense reports, and purchase orders.
- Assist with registration, and academic records management.
- Support the coordination and administration of college programs and initiatives.
- Perform other administrative duties as assigned by supervisors.
Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Proven experience as an administrative assistant or in a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving abilities.
- Familiarity with office equipment (e.g., printers, copiers, fax machines).
- Discretion and confidentiality in handling sensitive information.
Preferred Skills:
- Experience working in an academic environment.
- Knowledge of student information systems and academic records management.
- Familiarity with event planning and coordination.
Work Environment:
- Office-based with standard working hours; occasional evening or weekend work may be required for special events.
