Responsible for providing administrative and recruitment support to the international recruitment team in business development group, with a focus on information management and outreach, short term recruitment, and proposal preparation.

 

  • Bachelor’s degree required in human resources, business, economics, agriculture, international relations, or related field required.
  • Minimum one (1) year of experience in an office setting is required - preferably internships within the career services or international development industries.
  • Ability and willingness to travel internationally required; may be required to be fully vaccinated against Covid-19 based on country requirements.

Responsibilities

Support Recruiters in the identification and recruitment of personnel

  • Write compelling job advertisements and post them to Applicant Tracking System (iCIMS) and external recruitment sources.
  • Maintain database of local posting and sourcing venues.
  • Lead preparation for the career fairs and recruitment outreach events, including ACDI/VOCA virtual and printed materials.
  • Conduct reference checks on key and critical personnel selected for the proposal, coordinating phone calls as necessary.
  • Assist with the management of specialized Talent Pools in iCIMS.

 

Assist Recruiters in the completion of inputs for the personnel sections of proposals

  • Solicit additional information from key and critical personnel for inclusion in the personnel section and/or formatted CVs.
  • Prepare the first draft of the formatted CVs.
  • Draft necessary documentation about candidates as required.
  • Create relevant staffing and technical matrices as required.

 

Coordinate the Searches for Short-term Personnel for Proposals and Projects

  • Identify short-term candidates through database searches and job announcement responses.
  • Coordinate communication between short-term technical experts and proposal/project teams.
  • Solicit information to update and amplify short-term candidate descriptions.
  • Collect and complete necessary paperwork on short-term candidates as required by donor.

 

Maintain Recruitment Infrastructure

  • Organize and coordinate biweekly recruitment team meetings and/or events.
  • Maintain access to recruitment sources and email accounts.
  • Ensure current and complete candidate information in Applicant Tracking System (iCIMS).
  • Assist with the maintenance of the international recruitment SharePoint site as well as relevant process maps and procedural guidance documents.
  • Deconstruct personnel sections and elements from proposals into an example library and iCIMS.
  • Manage communication with vendors on renewal dates and event registrations for key services and websites.
  • Collaborate with HR and Projects Operations on the project close out and start up processes by coordinating the transfer of personnel files.
  • Facilitate the data gathering for reporting on the diversity and gender aspects of applicants.

 

Monitor Business Intelligence on Key and Critical Personnel

  • Disseminate competitor job announcements to departmental business analytics and proposal teams.
  • Track incumbent competitor personnel for USAID and USDA-funded projects.
  • Record received donor feedback on proposal personnel sections.

 

Other duties

  • Bachelor’s degree required in human resources, business, economics, agriculture, international relations, or related field required.
  • Minimum one (1) year of experience in an office setting is required - preferably internships within the career services or international development industries.
  • Fluency in English is required. Professional proficiency in French or Spanish preferred.
  • Excellent verbal and written communication skills required.
  • Ability to write coherently and persuasively.
  • Strong organizational, interpersonal, communication, outreach, and networking skills.
  • Demonstrated ability to work in a self-directed, results-oriented environment at a fast pace.
  • Proficiency with Microsoft Office and database applications; demonstrated ability to use Internet as a research tool.
  • Ability and willingness to travel internationally required; may be required to be fully vaccinated against Covid-19 based on country requirements.
  • Must be available during core business hours and/or operating hours for international time differences; flexibility to work more hours when needed.
  • Flexibility to work in office based on work demands.
