What are the responsibilities and job description for the Operations Manager position at Acton Corporation?
Acton Corporation is a medical release of information and data management service. This position is a full-time position responsible for working closely with the Director of Operations. Added responsibilities include providing support at medical facilities, processing Release of Information requests and working well with HIM directors as well as and management within Acton Corporation. This position is fast paced and demands multi-tasking skills. In addition, this position must be able to proficiently perform all release of information tasks within the company’s policies and HIPAA guidelines.
Responsibilities:
Exercises sound judgment and critical thinking skills in the execution of job duties.
Works with the Director of Operations to develop guidelines and best practice increasing efficiency and productivity.
Aid with the training of Release of information Speaclist throughout the market and provide coverage in the event of backlogs, illness, vacation, or leave of absence.
Aid in evaluation of employees.
Responsible for professionally training release of information staff in company and facility specific functions.
Complete release of information request including retrieving patient’s medical records, copying/scanning charts accurately and electronically transmit medical records within established standards of quality and productivity.
Validates requests and authorizations for release of medical information according to established procedures and HIPAA guidelines.
Maintain working knowledge of current state laws regarding fee structure, and HIPAA regulations as well as facility policies and procedures about release of information.
Provides excellent customer service by being attentive and respectful; insures understanding of customer request and follows-through as promised; and being productive in identifying member concerns, or problems.
Maintains a neat, clean, and professional appearance and adheres to the Acton dress code.
Works within scope of the position and direction; willingly accepts assignments and is available to take on additional facilities or assist during backlogs.
Remains abreast of processes and procedures for installing applicable Company operational software.
Maintains confidentially, security and standards of ethics with all Company and medical records information including during transport, storage, and disposal. Will not remove medical records information from member site unless written authorization is provided by the facility’s HIM Director.
Ability to adapt to change and respond to difficult and challenging situations in a professional manner.
Accepts new assignments willingly to meet business needs.
Communicates with Director of Operations on an on-going basis, supplying information and data as requested including members changing needs and requests.
Promptly reports to Director of Operations any customer service concerns and / or any potential HIPAA violations whether actual or perceived.
Informs Director of site or work difficulties, special project requests from facility, and fluctuating volume in daily workload.
Ability to work with minimum supervision, establish workload and prioritize work tasks to meet production goals.
Maintain a current and valid driver’s license and ensures personal automobile or transportation that is used in connection with Company duties.
May be needed to oversee site operations in the absence of the Director of Operations.

Qualifications
Must be 18 years of age or older
High School Diploma (GED) required
3-5 Years of Management Experience
Knowledge, experience and / or training in correct data entry, office equipment and procedures needed.
Proficient knowledge working in various Electronic Medical Records systems.
Proven customer service experience or training.
Must be willing to travel daily and overnight stay is required.
Job Type: Full-time
Pay: $40,000.00 - $43,000.00 per year
