Summary of Duties (not an exhaustive list):
- Facilitates the work of CHS Executives and Boards by providing administrative support.
- Performs administrative support, including answering telephones, scheduling meetings, arranging travel, coordinating events, scheduling interviews, preparing reimbursements, completing requisitions, filing, faxing, and copying.
- Processes all mail, incoming and outgoing, including sorting and identifying incoming mail by action needed and reviewing and preparing documents to provide pertinent information to assist Executive with resolving issues.
Performs Board/Organizational Committee tasks, including scheduling meetings, preparing packets (composing memoranda, compiling reports, conducting research, creating presentations) and recording and transcribing minutes.
- Prepares Board/Organizational Committee meeting minutes and action reports.
- Provides information and administrative support as appropriate to parties such as consultants, Board members, Administrative Interns, Vice Presidents, Executive Vice Presidents, and/or the President.
- Prepares routine and complex correspondence (letters, memoranda, reports, agreements, loans, policies/procedures, recertification, surveys), which includes editing, proofreading, and formatting.
- Assists with various executive projects, including research, tracking, and audit functions. Creates and formats presentations.
Minimum Skills (should align with and be detailed on your resume):
- Minimum: Advanced Microsoft Word, Excel, PowerPoint, and Outlook skills. Minimum 60 wpm keyboarding/typing speed.
- Minimum: 5 years supporting executive-level professional(s) in a fast paced office environment. Directly related experience with Board Committee tasks.
- Ability to analyze problems and take action as appropriate. Ability to handle situations and/or conflicts involving the administrative functioning of the office.
- Strong interpersonal skills to interact with Executives, Board members, and the community.
- The employee communicates effectively. Excellent written and verbal skills.
- Exceptional time management/organization skills with proven ability to manage several on-going projects and assignments as required. A strong orientation to detail. Must be a self-starter,
- Take initiative, and be assertive in anticipating the needs of the Executive.
Education (please ensure date attended, degree, & school name are complete):
- Minimum: High School diploma or equivalent
- Preferred: AA degree in related field
