Administrative Assistant
Provides overall administrative support, assists other administrative staff when needed; participates in the completion of special projects for the office such as policy manuals, Board Meeting documentation, acquisition documentation, Sales Meetings, Operational reports; maintains various databases; provides office and phone coverage in absence of other administrative staff.
Job Duties:
- Provides administrative support to ensure efficient operation of office.
- Provides general administrative support including preparing, editing and creating correspondence; answering and screening phone calls; screening mail; making travel arrangements; creating, maintaining files; creating and editing Power Point presentations and Excel spreadsheets; manage calendars for team and other general support duties as required.
- Answers phone calls, schedules meetings and supports visitors.
- Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- Maintains various databases and spreadsheets as requested
- Assists with special projects to include but not limited to mailings, acquisition documentation, sales and field meetings, policy manual editions, etc.
- Acts as a middleman between other departments and outside agencies, including high-level staff such as senior vice presidents, presidents, CEOs, and chief executives. Handles confidential non-routine information and explains policies when necessary
- Organizes and schedules office activities, including meetings, travels, and conferences, as well as department activities for members of the department
- Establishes, maintains and updates filing system for location as needed and retrieves needed information from files.
- Sorts and distributes mail. Drafts written responses by phone or e-mail when needed. Responds to regularly requests for information
- Works independently and in conjunction with a team on special nonrecurring and ongoing projects.
- Coordinates special projects as requested which includes disseminating information, planning, and coordinating multiple presentations, creating brochures, and coordinating direct mailings
- Types and designs correspondences, memos, graphs, tables, charts, as requested

Requirements
Minimum Job Qualifications:
- High School Diploma or equivalency
- Two (2) years related experience is required and may be general clerical experience
- Exact experience considered is Administrative Assistant or Secretary
