What are the responsibilities and job description for the Health Information ROI Rep I - Sheboygan position at Advocate Aurora?
Responsible for logging all release of health information requests in timely and efficient manner to populate appropriate work queues. Responsible for accurately processing release of information requests from various requesters, including but not limited to continuing care, insurance, social security in compliance with state and federal regulations and organizational policies and procedures.
Ensures, safeguards and protects patients right to privacy by staying current and knowledgeable all Federal and State Regulations and organization policies regarding privacy, confidentiality, and release of information.
Receives requests, validates the authorization, identifies requestor type and logs each request for release of information timely and accurately into the Release module in the EHR according to department procedure. Scans the authorization into the release module according to documented process.
Process requests and creates encounters for patient family medical leave and disability forms.
Processes requests for release of health information by identifying and accurately selecting the appropriate encounter, documentation, and/or result while choosing the correct ROI report based on the dates and information authorized to be disclosed.
Ensures any information that is imported or scanned into the EHR that is not available via the release module is included in the request as appropriate. Reviews all scanned documentation prior to release to ensure there are no “miss files” in the system.
Ensures all releases of information are in compliance with the request, authorization, policies, and State and Federal/HIPAA regulations and guidelines.
Releases records in the format requested, creating electronic files to export to CD’s, e-mail, to the patient portal, or requester portals. Understands rules around encrypting electronic communication, CD’s and e-mail.
Assists with requests to review records on site, verifies requester’s authority to review, creates the release using the release inspector function or by ensuring any records held in any other media are retrieved and available for review.
Provides excellent customer service in a respectful manner, ensures understanding of customer requests and assists them appropriate, this includes, but not limited to, providing status of requests, providing information on how to request records, and explaining the process including typical turnaround times.
Performs clerical functions which may include: answering phones, copying, faxing, distributing mail, and/or ordering/delivering department or facility supplies.
Scheduled Hours- Monday through Friday
- 8:00am to 4:30pm
- 60 hours / two weeks

Required Functional Experience
- Typically requires 1 year of experience in customer service, release of information, or health information records within a healthcare environment.
Knowledge, Skills & Abilities
- Excellent communication, interpersonal, customer service, and organizational skills.
- Ability to read and comprehend healthcare terminology.
- Ability to understand and become knowledgeable of release of information standards, policies, procedures, and HIPAA regulations.
- Intermediate computer skills including proficient keyboarding skills and experience in using Microsoft Office products, electronic mail and/or electronic health information records systems.
- Must have high attention to detail and accuracy.
- Ability to work independently with minimal supervision and make decisions with good judgment.
- Ability to prioritize workload, multi-task, and work under pressure in a fast-paced environment with time constraints.
