Position snapshot:
AEB USA is looking for an Office and Administration Manager for our facility based in Fresno, CA.
They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The will include bookkeeping and personnel management and the role will imply a continuous relationship with the Italian HQ for reporting and budgeting.
The ideal candidate will be competent in prioritizing and working with little supervision, self-motivated and trustworthy.
Main tasks:
Accounting
·Independently perform bookkeeping procedures according to company policies
·Monitor costs and expenses to assist in budget preparation
·Create and update records and databases with personnel, financial and other data
·Submit monthly report to the HQ (P&L, balance sheet, Capex, headcount)
·Manage payments and cash flow
·Manage overall payroll cycle (salaries, health policies, insurance, tax payroll, 401k, etc.)
Office Management
·Coordinate office activities and operations to secure efficiency and compliance to company policies
·Coordinate with tax consultants and labour consultants to ensure adherence to local requirements and regulations
·Manage relationship with local auditor
Personnel Management
·Coordinate with labour consultants for payroll tasks
·Support with recruitment activities when needed
·Assist colleagues whenever necessary
Who we are looking for, more in detail:
- Academic background in Accounting and Administration
- Proven working experience with similar role (min. 3 years)
- Proficiency with current financial software (Quickbooks)
- Sense of responsibility and aptitude for managing your own time
- Affinity and ability to work in a team and international context
- Knowledge and ability in the use of MS Office
- Ability to travel to our other facility in Lodi (CA) twice a month
- Driving license
- The knowledge of an additional language will be considered a plus.
