Requirements
THIS POSITION IS MONDAY - FRIDAY 7:OO AM - 4:30 PM
Service Job Responsibilities:
Ensures that someone is always physically posted at the Service Counter and readily available to communicate with customers who call or walk in.
Helps identify a mechanical problem by questioning the customer or doing a visual inspection or road test.
Confers with customers about inspection results, recommend corrective procedures and prepare work order for needed repairs.
Prepares a repair order showing time, cost and labor estimates for service.
Writes a brief description of the customer’s concern on the repair order to help the technician locate the problem.
Explains the work performed and the repair order charges to the customer.
Handles customer complaints.
Obtains customer and vehicle data prior to arrival when possible.
Test drives the vehicle with customer as needed to confirm the problem or refer to test technician.
Refers to service history, inspects vehicle, and recommends additional needed service.
Advises customers on the care of their cars and the value of maintaining their vehicles in accordance with manufacturers' specifications.
Provides a complete and accurate written cost estimate for labor and parts.
Establishes “promised time.” Checks with manager, if necessary.
Ensures all work requested is authorized by the payer or his appointed representative before work is begun.
Obtains customer's signature on repair order; provides customer with a copy.
Establishes customer's method of payment. Obtains credit or insurance approval, if necessary.
Notifies manager of incoming work.
Checks on progress of repair throughout the day. Contacts customers regarding any changes in the estimate or promised time, explains cost and time requirements in detail, and gets proper authorization before any additional repairs are performed.
Reviews repair orders to ensure that work is completed, and additional work and authorization is noted. Closes repair order as appropriate.
Ensures that vehicles are parked in assigned areas. Makes sure they are locked, and all keys are marked and put away correctly.
Implements a quality control process to eliminate comebacks.
Maintains high customer satisfaction standards.
Handles telephone inquiries regarding appointments and work in process.
Inspects all vehicles for body work, informs customer if work is needed and provides an estimate for body work.
Helps in conjunction with all other staff, ensures the security of our client’s vehicle and property by applying protocols that are specific to his or her post.
Performs other duties as assigned.
Ability to dispatch and encourage body shop tech team.
High compliant and organization.
Parts Job Responsibilities:
Always greet customer politely and professionally, offering them assistance.
Assists all customers in retail and in shop.
Provides price quotes.
Reviews body shop estimates and check if parts ordered and pricing is correct.
Provides high level of service to internal and external customers.
Pulls and fills order from stock.
Notifies Parts Manager of out-of-stock parts and materials that need immediate attention.
Locates out-of-stock- parts from outside sources and places emergency order if needed.
Notifies body shop when all parts have arrived and delivered.
Makes sure that all parts are tagged with customer names and job numbers.
Follows up on back-ordered parts.
Keeps orderly records of all repair orders, invoices, insurance estimates and special-order parts.
Answers phone calls and take messages as needed.
Processes assigned cycle counts.
Completes training associated with front parts counter job role.
Safeguards information system assets by identifying abnormalities, reporting suspicious activity and/or content, and contributing to the resolve of cyber security problems.
Open repair orders for all new inventory units arriving at the dealer
Tag, gather mileage, and take photos of all noted issues on check in form (any damaged/faulty components)
Build estimates for paint deficiencies needing repair
Obtain approval for paint repairs over $2,000 on new inventory trucks via E-serv
Build files with mapping codes, estimate, and labeled photos for warranty to review
Keep Affinity Sales Dept. up to date with unit statuses and ETCs
Assist walk-in and call-in customers. Note information received in Snotes for open RO's and communicate to Body Shop Manager about all other conversations needing to be followed up on
Dispatch work to technicians
Ensure paperwork and documentation is in order for all work orders
Schedule sublet/vendor work when needed
Perform walk arounds on unit's being confirmed to sales they are ready for pickup
Pick up parts from Affinity Parts Dept. or vendors when needed
Keep inventory of parts stocked at the body shop and provide to technicians when needed
Order parts for technicians via Affinity Parts rep
Maintain a professional appearance
Maintain a clean office and workspace
Open and Close Body Shop yard when needed
Valid Driver's License (Clean Driving Record Required)
