JOB DESCRIPTION
JOB TITLE: Execution Coordinator – I, II III
DEPARTMENT: Agency, Eastern Div., KC Trading, Moses Lake, Western Div.
SUPERVISOR: Execution Manager, Assistant GM, Merchandiser
HOURS: 8AM to 5PM (Flex Hours Available)
BENEFITS: Eligible
GENERAL SCOPE OF WORK:
This position is responsible for the contract execution and settlement of commodities in support of Merchandisers.
RESPONSIBILITIES LISTED BELOW :
- Input and review purchase and sales contracts traded by Merchandisers
- Establish and maintain delivery and shipment files
- Prepare, receive and review documentation
- Communicate with supplier, buyers, freight forwarders, surveyors, agents, etc.
- Identify issues that are hindering the delivery process
- Process settlements of commodities, including bills of lading, tickets, discounts, freight and other associated revenues and expenses
- Ensure timely and accurate processing of payments
- Create and maintain a team environment for all supported businesses
- Fully understand all aspects of invoicing including follow up and collection through to payment receipt
- Follow all regulations and rules, such first purchaser and lien requirements, export declarations, and insurance reporting
- Provide excellent customer service by fostering positive relationships and strong follow-up with customer issues, both internal and external
- Provide various information, as needed, to the business managers, and corresponding management team, to effectively analyze the results of operations
- Work proactively to ensure all policies are followed
- Learn and effectively utilize all applicable operation systems
- Assist other co-workers as needed, assist with special projects as needed, and any other duties as assigned
- Maintain proper filing and document retention
KNOWLEDE REQUIRED FOR POSITION:
- Basic understanding of agricultural commodities trading business in U.S.
- Computer experience needs to include in depth use of excel and word.
- Basic math skills required.
- College degree preferred but not required.
- Good analytical skills.
- Strong attention to detail.
- Good communication skills
PHYSICAL ASPECTS OF POSITION:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Must be able to navigate various departments of the organization’s physical premises.
- Travel may be required.

- Explanation of the Levels: Level I – Coordination and reconciling of inbound delivery of commodities, input of purchase and sale contracts, processing of grain settlements, processing of daily position report, reconciliation of inventory, processing outbound loads, processing payments to suppliers and commercial customers, and customer service.
- Level II - Level I duties, plus monitoring accounts payable and receivable, month end duties, monitor receipts and shipments including trucks, railcars, and vessels, review contract terms and counterparty contracts, review charter party agreements, understand rail rates and tariffs, develop customer service, support merchandisers and operations as needed, processing of commodity related bills and logistics as needed, input and report insurance requirements.
- Level III - Level I and II duties, plus thorough understanding of trade rules, communications with many parties related to execution and preparation of reports, identification of issues and ability to problem solve proactively, train other execution staff on systems and regulatory requirements.
