Job Description:
To serve as the liaison with Event Service Managers and all operational departments with onsite meeting contact. This position is highly visible and the central point for handling and addressing special needs or requests for in house groups.
Responsibilities:
- Assist Event Managers as the onsite liaison between Meeting Planner and operational departments.
- Communication with all Event Managers and Meeting Planners to ensure seamless experience.
- Basic knowledge of hotel departments and purpose in fulfilling guests’ needs.
- Manage and assist all aspects of hotel events to include day to day coordination.
- During meetings and conferences, will ensure arrangements are to specifications and ensuring satisfaction by creating memorable experiences.
- Being proactive in problem resolution, keeping clients advised on current status of events and functions, including items pending that need follow up.
- Multi-task and prioritize multiple requests and information; time management skills are necessary.
- Utilize Delphi for generation of necessary documents and changes as needed.
- Detailed knowledge of the hotel meeting space, group dynamics and event details.
- Special projects as assigned by Department Manager.
- Attends daily Banquet Event Order meetings and weekly resume meetings as needed.
- Recommends special outside services when required.
- Coordinates and attends pre-convention meetings prior to conference when scheduled.
Working Conditions & Physical Requirements
Physical Effort:
Significant portions of day require prolonged standing, moving and sedentary work. Ability to visually review documents and computer screen throughout day.
Physical Environment:
Ability to walk or stand for extended periods of time during course of shift.
Manual Skills
Significant portions of daily assignments involve application of manual skills requiring motor coordination in combination with finger dexterity, e.g., typing, handwriting, or machine operations.
Work Schedule:
Must be able to work a flexible schedule primarily daytime hours, Monday-Friday, with the flexibility to work weekends if needed.
Safety:
Responsible for operating within company safety guidelines, including the safe and responsible operation of company equipment. Reports and addresses safety concerns as they arise. Ensures safe handling of chemicals in accordance with company and department standards and utilizes proper personal protective equipment (PPE) when appropriate.
Qualifications
Education:
High school diploma or equivalent vocational training certificate required. Some college or college degree preferred. Degree in hospitality management preferred.
Experience:
Previous catering, convention services, or sales support experience preferred in a large convention hotel. Other relevant event, meeting planning, or hotel operations experience will be considered.
Computer Skill & Other Technical Skills:
Ability to accurately and efficiently input information into computer systems, with developed computer proficiencies. Delphi experience strongly preferred.
Communication:
Advanced ability to comprehend and speak English to understand and respond to information and address advanced guest requests required both verbally and in writing. Knowledge of additional language(s) preferred.
