OFFICE MANAGER

The Office Manager will manage the daily operations at AKA NYC, ensuring a welcoming and positive on-site experience for all constituents. Reporting to the Chief Financial Officer, the Office Manager is a full-time non-exempt position. This position is fully on-site from 9AM-5:30PM.
WHAT YOU’LL DO:
- Serve as first point of contact for clients, vendors, visitors, guests, and colleagues
- Ensure that the front office environment is professional and welcoming
- Answer all incoming phone calls and distribute messages
- Oversee and manage meeting room calendars
- Maintain a working knowledge of all meeting room AV equipment and assist when needed
- Organize and coordinate all office catering for client meetings and internal office needs
- Coordinate the setup, cleaning, and organization of office meeting rooms
- Support the Senior Manager of IT & Infrastructure by performing periodic facility inspections, checking lightbulbs, air conditioning, copier, kitchen cleanliness, etc.
- Maintain inventory of office supplies including pantry items, drinks, food, furniture, lightbulbs, copy paper, other supplies and equipment, etc.
- Maintain organization and inventory of storage spaces
- Prepare and circulate internal communications as required
- Manage all incoming and outgoing mail and packages, including FedEx and/or Messenger pickups.
- Performs other duties as assigned
WHO WE’RE LOOKING FOR:
- 1 year of experience with office management/operations experience, ideally a client-facing role
- Excellent interpersonal and customer service skills and eagerness to provide warm, enthusiastic, knowledgeable, and friendly service to clients, staff, and guests at AKA
- Experience with Mac and Windows
- Passion for organization and structure
- Strong attention to detail
- Excellent verbal and written communication skills
- Ability to identify problems and present solutions in a clear and concise manner
- Demonstrated interest in theatre or performing arts a plus!
