What are the responsibilities and job description for the Customer Service Representative position at Aladdin Rents?

Aladdin Rents is accepting applications for a part-time customer service representative. This individual will assist customers in planning events. They must have excellent, up-to-date computer skills.

Customer service representatives will receive incoming phone inquiries from potential customers and convert those inquiries to reservations. They will also meet with customers in our showroom or at our customer’s place of business, home or venue to discuss the details for their event and determine the appropriate rental equipment needed.

Examples of some of the events this individual will be responsible for coordinating are annual non-profit fundraising events, trade shows, festivals, graduation parties, backyard parties and small to large scale weddings.

The Customer Service Representative must be able to handle numerous details for many orders. This a fast-paced environment and we are team-oriented.

The Customer Service Associate will:
  • Handle incoming phone inquiries and internet requests from potential customers and convert those to orders.
  • Wait on customers in our showroom.
  • Discuss details for the customer’s event to recommend the proper rental equipment that will be needed as well as suggest rental items the customer may not have thought of renting or suggest rental items the customer may not know we have available to rent.
  • Educate our customers about products, services, and rental terms.
  • Coordinate colors while matching customer’s tastes and themes.
  • Assist at site visits to measure and/or evaluate event spaces. Not only will you determine what will fit in the space, you will determine if there are any safety concerns for our set up team and our customers. You will review delivery/pickup information along with other details to help the customer create the best event possible.
  • Enter orders into our rental software program and provide written event price estimates according to established procedures.
  • Process payments, work with cash register.
  • Assist in planning tented event rentals, recommend the appropriate size tent.
  • Use a Computer Aided Design (CAD) program to provide customers with scaled drawings for our larger events.
  • Keep documents, notes, emails, tasks organized.
  • Continual contact with customers and other individuals in order to make sure all details for their event are taken care of (proper rental items booked, layouts approved, final counts, delivery/pick-up times, information confirmed with venues, production schedules approved, permits filed and inspections scheduled, call for underground utilities to be marked, waivers signed…).
  • Communicate all event details with internal staff to ensure successful events.
  • Determine if additional equipment needs sub-rented or purchased for events.
  • Handle all details from the start of the order until after the event.
  • Assist with the setup of customer events as necessary.
  • Establish and build relationships with your customers. Many have multiple events a year in which you assist them.
  • Maintain and change showroom displays each season.
  • Assist with auxiliary tasks such as updating processes and procedures, training, ordering equipment, marketing, and inventory.
  • Assist other departments in tasks as needed.

Skills and Requirements:
  • Have exceptional telephone and communication skills.
  • Must possess sales and customer relations skills.
  • Be able to close sales.
  • Experience with computers especially with Microsoft Office Products (Word, Excel, Outlook).
  • Be detail-oriented.
  • Have good organizational and planning skills to manage time and meet deadlines.
  • Be able to provide, understand and complete instructions furnished in written/oral form.
  • Be a self-starter, show initiative and be a problem solver.
  • Be able to lift at least 50lbs and assist on setups for events.
  • Typically scheduled 25-32 hours a week normally between the hours of 8am-5pm Monday-Friday and Saturday 8am-12pm.
  • Occasionally be able to work some overtime, mostly during our busy season.
  • Multi-tasker, thriving on a demanding schedule, working details on multiple events (large and small) at one time.

On-the-job training will be provided to learn the following:
  • Becoming familiar with our rental items.
  • Using Party CAD (Event Layout Program).
  • Using our rental software.

Salary : $1,200 - $1,500
