Alex Hanna Law, PA is looking for a receptionist to join the Firm.
SUMMARY:
This position is primarily responsible for operating a multi-line telephone system to answer incoming calls and directing callers to appropriate personnel as well as receiving and attending to visitors. These responsibilities are accomplished by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Answers incoming telephone calls, determines purpose of calls, and forwards calls to appropriate personnel or department.
- Retrieves and delivers messages accurately.
- Transfers calls to voicemail when requested. Otherwise, always finds an alternative source to help the caller.
- Answers general questions about organization and provides callers with company address, directions, etc.
- Welcomes on-site visitors, determines nature of business, and announces visitors to the appropriate personnel.
- Assists visitors with initial documentation, if applicable, before directing them to the appropriate department.
- Receives and routes mail accurately.
- Maintains fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
- Performs other clerical duties as needed.
