POSITION SUMMARY: We are looking for a resourceful and highly organized individual to support the CFO with daily administration and project management. This role is responsible for managing the calendar, preparing communications, owning the organization and maintenance of a document directory, and documenting business processes. They will be integral in helping organize various areas of responsibility including: ISO 9001, Legal, Banking and Insurance.
KEY RESPONSIBILITIES:
ISO 9001
- Participate in weekly calls and gain an understanding of the program
- Maintain document library
- Generate, coordinate, and obtain meeting notes
- Coordinate meeting calendar
Legal
- Set up a companywide legal document directory
- Work with department heads to collect and centralize contracts & agreements
- Provide miscellaneous coordination through the negotiation and approval processes
- Maintain legal document library
Banking
- Coordinate signature processes as necessary
- Provide miscellaneous coordination with bank
- Maintain document library
Insurance
- Miscellaneous coordination with broker
- Maintain document library
Miscellaneous
- Coordinate calendar and meetings.
- Research, organize and create materials for meetings.
- Support preparation of business presentations by compiling necessary documentation.
- Accurately create, code and organize expense reports.
- Other ad hoc projects as needed.
ESSENTIAL SKILLS, EXPERIENCE, AND EDUCATION REQUIREMENTS:
- Prior work experience as an Executive Assistant or similar role. Project management experience a plus.
- Proficient in Microsoft Office suite and open to learning new technology.
- Ability to interact with senior leaders at all levels in a fast-paced environment, while remaining flexible, proactive and efficient, with a high level of professionalism.
- Highly organized with the ability to perform multiple tasks and handle changing priorities successfully with minimal direct supervision.
- Strong communication skills via phone, email correspondence and in-person.
- Experience exercising discretion and confidentiality with sensitive company information.
- Excellent organizational skills and ability to think proactively and prioritize work.

- $75.0 - $90.0 base salary (This range represents the low and high end of the anticipated base salary range for this NJ - based position. The base salary will depend on numerous factors such as: experience and qualifications for the role, experience level, skillset, and balancing internal equity relative to other AO employees.)
