Hours are Monday - Friday; 8:00am-4:30pm; 37.5 hours/week; overtime as required
Under the direction of the Clerk of the Allen Circuit and Superior Courts, the Director of Systems Operations
ensures the various departments within the Clerk’s office can carry out its day-to-day case-management and financial obligations. The Director of Systems Operations has a thorough understanding of the various technical systems and manual processes involved in the handling of court-related cases and finances across both state-wide and local entities. This detailed understanding allows the Director of Systems Operations to troubleshoot issues and customize solutions with both internal and external decision-makers at both the state and local levels. The Director of Systems Operations often works directly with various county departments (i.e. Circuit & Superior Court, Sheriff, Prosecutor, and Information Technology) without direct oversight to ensure operations are completed timely, accurately and efficiently. The Director of Systems Operations also provides recommended courses of action to the Clerk and external decision-makers to guarantee compliance with the various legal requirements, deadlines, and accounting standards. This position serves in the administrative division of the Clerk’s office which oversees the operations of six divisions and more than 50 staff members.
Essential Functions:
- Monitors operations for court-related case and financial processing within multiple case management systems and related applications.
- Assesses internal and external workflow and provides recommendations for both long-term projects and short-term fixes.
- Audits the work product of management and staff, as necessary, and suggests or directly implements improvements.
- Generates customized reports and statistics for the Clerk and various Courts. Interprets data, if necessary, for various courses of action.
- Works directly with the Clerk and various judicial decision makers to interpret the impact of new legislation and/or procedural requirements. Provides recommendations to ensure cost-effective compliance.
- Works with the Clerk, Chief Deputy Clerk and Judicial officers to create customized legal forms and instructions for litigants, attorneys, and various judicial processes.
- Performs all other duties as assigned.
REQUIREMENTS:
- Bachelor’s Degree in Project/Systems Management, Information Technology, Legal, or related field and at least 8 years experience in court related and financial processing.
- Advanced working knowledge of various court case-management systems and related judicial applications
- Advanced understanding of the operations and functions of the judicial branch of government, federal and state statutes, local rules of court. Knowledgeable with judicial processes and the changing legal environment.
- Superior communication, writing and interpersonal skills.
- Strong computer skills with the ability to use Microsoft Office and other job-related software
- Must be an Allen County resident pre Indiana Code
- Valid Driver’s License to perform field work and/or to operate county owned vehicles required
