Allergy and Asthma Care of Rockland is a growing practice seeking a mature, customer-focused, experienced professional with a proven track record in managing a medical office. The Office Manager will manage daily operations to ensure the office is running smoothly and the patient experience is optimized. The manager is expected to provide leadership and administrative support to a team of 20 professionals in two office locations.
Office Manager Responsibilities
- Manage the day-to-day operations of a dynamic, fast-paced medical office
- Lead by example with high ethical standards and a focus on exceptional customer service
- Develop, implement and maintain appropriate office policies and procedures
- Direct patient flow and handle patient inquiries and complaints
- Communicate professionally and effectively with patients and their family members, clinicians, nurses, administrative staff, insurance payers and suppliers
- Manage and oversee office budget, bill paying and billing
- Support strategy and creation of marketing plans and materials and manage all public relations activities
- Develop and enforce risk assessment and management protocols in such areas as safety, financing, regulatory and accreditation compliance
- Troubleshoot computer hardware and software issues and facilitate repair as needed
- Manage the administrative staff including resource utilization, scheduling, vacation time, recruiting, employee hiring, insurance coverage, termination, performance evaluation, goal setting, professional development and training
- Manage and report on all aspects of certified electronic health record technology, i.e, "Meaningful Use"
- Maintain employee benefits and deductions including payroll hours and PTO, garnishments, 401(k) administration, Workman's Comp and disability paperwork
- Select medical equipment and ensure appropriate inspection and service
- Implement, train staff and certify that clinical safety procedures are in place including bio-hazardous waste disposal, medication storage and steps for reporting suspected abuse to authorities
- Secure physician hospital and insurance company credentialing, reappointments and renewals of licenses
- Manage third-party providers including IT, software, telecommunications and any specialized consultants
- Supervise office staff as they:
- Register new patients and create profiles
- Schedule and coordinate patient appointments to optimize client satisfaction as well as resource and facility efficiency
- Create and update patients' electronic health records
- Record and update personal and financial information
- Submit insurance claims and manage follow-up
- Verify patient insurance
- Banking, accounting and reconciliation
- Ordering and inventory management of office and medical supplies
- Billing and collections
- Bill patients, collect payments and/or implement payment plans
- Maintain total confidentiality of personal and financial data

- Skill in using healthcare software and computer systems
- Able to handle sensitive patient information with confidentialities
- Knowledge of continuous process improvement concepts and practices
Required Experience and Education
- Minimum of five years medical office or related experience
- Minimum of three years medical office supervisory or management experience
- BS degree in healthcare administration, business or relevant field
- Possess relevant computer skills
- Desired: Experience with eClinicalWorks (ECW)
- Desired: Certification by the Professional Association of Healthcare Office Management
