Qualifications
Summary:
The Accounts Receivable is primarily responsible for two key functions. First, they oversee the efficient processing of sales orders to ensure that payments from clients are collected in a timely manner. Second, they actively engage in collection activities, maintaining communication with clients regarding outstanding payments, addressing inquiries, and working to resolve any payment issues or discrepancies. Additionally, this role provides valuable support to the EVP of Finance and the Accounting Manager by assisting with various financial tasks and responsibilities, contributing to informed decision-making and overall financial stability.
Responsibilities:
- Daily responsibilities encompass processing sales orders and addressing invoicing inquiries.
- Efficiently manage Accounts Receivable (A/R) and collection activities.
- Rectify any issues with sales orders as they arise.
- Conduct collection calls for overdue accounts and transfer complex cases to the Accounting Manager.
- Prepare and submit monthly sales tax reports.
- Handle bank deposits as necessary.
- Manage the collection of morning mail when required.
- Perform monthly closure of accounts receivable, ensuring alignment with the general ledger.
- Provide support for other general ledger reconciliations on a monthly basis.
- Assist in preparing audit work papers.
- Handle rebate-related tasks.
- Administer month-end project billing.
- Manage AIA (American Institute of Architects) billing processes.
- Review incoming orders and contracts.
- Set up service contracts and handle billing.
- Enter fixed assets into the system.

Qualifications:
- A minimum of 2 years of accounting or relevant experience.
- High proficiency in Excel and computer skills.
- Preferred: Background in AIA (American Institute of Architects) billing.
- Preferred: Demonstrated capability to reconcile the general ledger for both monthly and year-end closures.
- Preferred: Familiarity with project billing procedures.
Education/Experience:
- High school diploma or equivalent
- A minimum of two (2) years relevant experience
Certificates and Licenses:
- Ability to become a notary.
