Responsibilities
The American Heart Association has an excellent opportunity for a Project Coordinator in our Emerging Strategies department!
This is a full time, benefits eligible, grant funded opportunity. Current funding will expire on 06/30/2024.
Responsible for providing coordination and administrative support to the Executive Lead, Emerging Strategies, and the Chief Clinical Science Officer. Responsible for preparing and distributing communications, scheduling, volunteer responsibilities and other organizing efforts based on project assignments. Also, responsible for actively maintaining a conflict free calendar for both the Executive Lead and Chief Clinical Science Officer, scheduling travel, operational budget and expense processing, record keeping, or other administrative duties assigned
- Communicate with team to organize and manage assigned projects/events. May coordinate staff, volunteers’, vendors, etc. to support assigned projects. May support on-site set-up and logistics for meetings.
- May assist with developing marketing efforts which may include updating on-line content, distribution of marketing materials, or communication to vendors/contractors/volunteers.
- Utilize vendor and/or AHA systems (e.g. E1, COI, Seibel, Oasis, etc.) efficiently and competently to complete duties/projects. Processes contracts and invoices as needed.
- Manage calendar, travel, expenses for Executive Lead, Emerging Strategies and Chief Clinical Science Officer
- Evaluates and maintains information and accurate data for compliance requirements or internal reporting needs. Collaborates with internal and external customers to ensure documentation is accurate and meets expectations.
- Provides coworkers, volunteers, and vendors with excellent customer service responding to requests in a timely manner and adhering to deadlines as appropriate.
Qualifications
- High School Diploma or Equivalent
- Five (5) years of relevant experience
- Proficient at project coordination
- Basic accounting process experience
- Demonstrated ability to prepare written and presentation communications
- Demonstrated customer service skills
- Demonstrated experience supporting an executive leader
- Demonstrated experience coordinating web-based meetings via Skype, Teams and Adobe Connect
- Ability to travel up to 5% local and overnight stay
Preferred Experience:
- Meeting or event planning experience
