What are the responsibilities and job description for the Shipping / Office Admin position at American Highway?
The Shipping / Office Admin provides support to the operations and logistics departments. Their duties include locating suppliers, invoicing orders, researching goods, services and materials and processing purchasing orders. Their duties include communicating with department heads, welcoming, and directing visitors, coordinating meetings and appointments, and performing clerical tasks, like answering phones and responding to emails. In addition, to working to create and enforce a culture of safety and fun within our organization.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Plans and prepares all necessary documents for shipments
- Coordinates with other company facilities to correct errors in shipments
- Completes and processes appropriate shipping documentation
- Dispatches shipments to the appropriate truck carriers
- Maintains and distributes shipment logs and other reports as needed
- Coordinates with sales team on sale order releases and documentation
- Asist with inventory control and receiving
- Evaluating suppliers by considering price, quality, availability, and other criteria
- Interviewing vendors and visiting suppliers’ facilities to learn about products, services, and pricing
- Verifying purchases by comparing them to a master list and recommending alternatives for expensive or irrelevant products
- Interacting with suppliers to schedule delivery times and resolve shipping errors
- Authorizing payments and maintain receipts, records, and inventories
- Perform receptionist duties: greet visitors, and answer and direct phone calls
- Monitoring office supplies and ordering new stationery, furniture, appliances, building facilities and electronics as required
- Organizing maintenance companies to keep the office / plant clean and safe and ensure its facilities / systems are in good working order
- Oversee and support all administrative duties in the office and ensure that office is operating smoothly
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Develop office policies and procedures, and ensure they are implemented appropriately
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
- Work to maintain good employee morale and manage employee welfare events
- Keep safety awareness high and ensure that all employees are aware that safety is American Highway’s number one priority
- Collaborate with HR / Operations on new hire onboarding

ESSENTIAL FUNCTIONS:
Physical
- Requires ability to walk, stand, carry materials, stoop, kneel, bend at waist, and climb ladders and/or equipment.
- Maximum unassisted lift – 50 lbs. Average lift less than 25 lbs.
Work Environment
- Occasional exposure to moving mechanical parts, fumes, airborne particles, chemicals, forklifts and overhead cranes.
- The noise level in the work environment is usually moderate to loud and requires hearing protection at all times.
- Hard hats, safety shoes, gloves and eye protection are also required at all times.
- Temperature environment 0 degrees to 110 degrees.
COMPENSATION PACKAGE
Based on Full Time Employment
Base pay: $18.50 - $22.50 / hr DOE
