Amerlux, a pioneer in the lighting industry for over 35 years, is seeking an Receptionist / Administrative Assistant to join our Human Resources team in our Oakland, NJ office.
The Receptionist/Administrative Assistant will report to the Director of Human Resources. The position will be responsible for supporting the office: answering phones, greeting visitor/vendors and providing administrative support: creating documents, creating and updating spreadsheets, participating in safety meetings and providing administrative support to Human Resources. The ideal candidate will be the face of Amerlux and expected to have a professional and welcoming demeanor. Additionally, this role will support Office Administration for Amerlux, including Office Management duties, catering and corporate events, travel arrangements, ordering office supplies and handling income and outgoing mail. This position requires a high degree of confidentiality.
Job Responsibilities Include:
- Meeting and greeting visitors.
- Answering the switchboard in a professional and courteous manner and routing phone calls to the appropriate person/department.
- Receiving, signing for, sorting and distributing incoming mail, Express Mail, Federal Express and UPS.
- Assisting CEO, CFO and Director of HR with preparing documents, creating and updating spreadsheets, handling special projects.
- Support the Amerlux safety program including: contributing as a member of the Safety Committee, assisting with office compliance, keep minutes of Safety Committee Meetings and retaining documents.
- Administers special programs for employees such as service awards and employee recognition awards.
- Assist with scheduling meetings and company luncheons.
- Keep track of sales reps travel and time off calendars.
- Assist with the maintenance of employee bulletin boards with compliant labor posters.
- Train new employees on phone and voice mail system.
- Other duties as deemed appropriate by Management to support the business objectives and projects upon request.
