Job Summary:
The Document Control Specialist is responsible for ensuring accurate and consistent project data management. The specialist is knowledgeable of information retention policies, electronic document management, and active and inactive records management.

Who You Are:
- Associates Degree in Business Administration or similar field preferred, not required

5 years of engineering and construction project administration, preferably in the energy sector
- In lieu of experience, an Associates Degree counts as 1-2 years of experience, and a Bachelors degree counts as 3-4 years of experience
- Ability to recognize document content and apply applicable document control numbers or log accordingly
- Meet deadlines, prioritize requests, and work independently while producing quality work
- Ability to prioritize tasks based on project due dates and/or importance to the project stakeholders
- Excellent interpersonal communication skills
Essential Duties & Responsibilities:
- Executes the document control procedures to ensure the project team is adhering to company standards, the document numbering schemes, and accurate document preparation.
- Assists in development, testing, training and implementation of document control standards and guidelines to support the company and client's specific data management needs.
- Provides direction and clarification of the document management processes to project team members.
- Performs quality control checks for all project related documents prior to their transmittal to ensure documentation is in accordance with project document control procedures.
- Maintains project contact lists and communication plan.
- Prepares transmittals for project documents and deliverables utilizing project distribution matrix and/or contact list.
- Maintains integrity of project databases, project libraries/folders, and Master Document List in the Master Document Repository.
- Distributes, logs, and tracks Supplier approval drawings through the design and procurement process.
- Provides technical assistance with the import or export of data; including but not limited to SharePoint, ShareFile, Procore, or Fusion support.
- Assists with data storage site maintenance and user security rights when needed.
