The Admin & HR Coordinator is at the heart of our company culture, dedicated to maintaining a positive and productive work environment. Working closely with the CEO and the HR Manager, this role involves monitoring the office vibe (both literally and via the OfficeVibe app), addressing concerns, implementing/recommending initiatives to boost morale, and performing administrative duties, including the inventory counts, collaborating with the HR team for payroll, and other needs, managing communications, and dealing with state-related correspondence such as child support letters.
Key Responsibilities:
- Actively monitor and assess the office environment, ensuring it remains conducive to happiness and productivity.
- Serve as the first point of contact for employee concerns, offering support and solutions to maintain morale.
- Address and mediate workplace conflicts with discretion and effectiveness.
- Closely collaborate with management to continuously evaluate and improve office dynamics and report any unpleasant events.
- Organize and implement team-building and wellness activities.
- Manage incoming calls, directing them to the appropriate departments or individuals.
- Handle sensitive administrative tasks, such as responding to official letters from the state regarding child support payments and other legal matters, ensuring confidentiality and compliance
- Provide administrative support including data entry, filing, and preparing reports..
- Perform regular inventory counts and update inventory records.
- Coordinate with the remote Inventory Manager to resolve discrepancies and ensure data accuracy.
- Communicate effectively with team members to support inventory and administrative needs.
- Perform other administrative tasks as needed to support the team and ensure efficient office operations.
Qualifications:
- Proven experience in Psychology, or a related field, with a focus on workplace wellness or culture.
- Strong interpersonal and communication skills, with the ability to connect with people at all levels within the organization.
- Experience in inventory counting or a similar role; administrative experience is a plus.
- Strong attention to detail and accuracy.
- Good organizational and time management skills.
- Excellent problem-solving abilities and a proactive approach to conflict resolution.
- Ability to handle sensitive situations with discretion and empathy.
