What are the responsibilities and job description for the Program Manager position at Anita's Gardens?
The Program Manager is responsible for the direct supervision of all staff, and is responsible for day-to-day operations and care of residents at our assisted living community, This position reports directly to the Administrator of the community. The Program Manager must have caregiving and supervisory experience, be a self-starter, have problem solving and communication skills, attention to detail and able to work with a wide variety of individuals.
We are looking for an individual who has flexible start times from 10AM-11AM till 6PM-7PM.
SIGN-ON Bonus: $50 after orientation, $200 after 60 days, and $500 after 6 months.
Daily Duties:
1. Oversees daily activities of community and assists employees and residents when needed.
2. Ensure that all residents receive care in a manner and in an environment that maintains or enhances their quality of life.
3. Coordinate the arrangement/transport of residents to scheduled appointments and per resident need/request. Making sure all appropriate paperwork is prepared for appointments.
4. Coordination of all community maintenance needs and ensure compliance for fire, safety and health requirements. To provide a safe environment by minimizing health and safety risks for residents throughout the entire building.
5. Maintain, adhere and communicate written policies and procedures that govern the operation of the community to staff and lead by example.
6. Responsible for day to day scheduling and tracking attendance for sick days, vacation time, etc. of caregiver, cooks and housekeeping staff.
7. Flexible availability to work 1st, 2nd, and 3rd shifts as needed.
8. Assignment of company phone and available for emergency call. On-call hours are scheduled Monday-Friday and every other weekend, may change based on staffing needs. Must be able to respond to staffing needs within an hour.
9. Monitor and administer the community budget (petty cash, expenditures and revenues where applicable).
10. Conduct employee interviewing, hiring, mentoring/training, discipline, evaluations, payroll and terminations and maintaining all documentation and confidentiality associated with these actions.
11. Oversight of the menu and food preparation, ensuring the quality and quantity of food.
12. Oversight of care staff, ensuring all residents cares/needs are met effectively and with compassion.
13. Oversight of housekeeping, ensuring the community is clean, safe and sanitary.
14. Immediately report to administrator and/or nurse any emergency needs of the residents, staff and families.
15. Oversight to ensure accurate record keeping of all services in the resident’s progress notes, care plan log and other occurrences or issues such as; behavior tracking log, incident report, food log, etc.
16. Answer phone professionally and relay proper message to resident, employee or other contact. This includes writing the date, taking a name, phone number and a message of what call was regarding.
17. Recognize and respond to crisis situations according to training and guidelines.
18. The ability to appropriately communicate with all staff, residents, families, case managers, doctors and all others in contact with Anita’s Gardens.
19. The ability to be a positive spokesperson for Anita’s Gardens in the local communities.
20. Provide a home-like atmosphere for all residents.
21. Required to assist residents in emergencies; fire, tornado, drills, etc.
22. Required to call the appropriate department in cases of emergency; 911, EMTs, fire department, local police department, management, nurse.
23. Assist the RN in the assessment of potential residents for consideration of placement at the community.
24. Required to plan, schedule, attend and/or conduct all in-services, meeting and training per DHS-83.
25. Maintain resident confidentiality per HIPAA requirements.
Other Requirements:
1. Extended hours and irregular shifts may be required especially in situations that cannot be avoided such as; severe weather, employee injury, etc. until proper staffing can be accommodated.
2. Expected to frequently walk, stand, bend, lift, reach, communicate, listen etc.
3. Occasionally stoop, kneel, crouch or crawl.
4. Ability to lift and/or move up to 35 pounds.
5. Follow DHS guidelines and Anita’s Gardens policies and procedures.
6. Employees may be exposed to hazardous materials and infectious diseases. In these situations employees will be required to wear gloves, gowns and/or masks.
7. Must be able to work with ill, disabled, elderly, emotionally upset, and potentially hostile people within the facility.
All staff must wear a mask while at work, as well as screen for COVID symptoms within staff. Vaccination is highly encouraged, and can be provider for by the assisted living facility.
