Position: Associate Analyst, Payroll
Job Location: Iselin, NJ
Job Type: Full-Time
Status: Non- Exempt
Reports to: Payroll Manager
Summary of the Role:
Under the general direction of the Payroll Manager, the position is responsible for carrying out responsibilities in accordance with the organization's policies and procedures.
Conduct research, analyze and resolve issues as they occur.
Performs various duties necessary for the overall Time and Attendance (T&A) system administration and maintenance. In addition to various reporting needs of the organization.
Responsibilities
* Be able to work under tight deadlines.
* Participate in company audits.
* Process semi-monthly payroll in the absence of Payroll Manager.
* Provide monthly HC report from ADP. Audit the HC report between ADP and Oracle for any discrepancies.
* Handle employee registration and provide training in the ADP payroll program.
* Assign supervisor rights and provide ADP training.
* Review semi-monthly timecards for accuracy, completeness and approvals. Work with both employees and supervisors to resolve issues.
* Prepare Oracle reports needed to audit leave usage.
* Provide ongoing staff assistance with ADP program.
* Strong knowledge of current applicable state and federal wage and hour laws.
* Conduct quarterly/annual system audits between ADP, John Hancock and Oracle to make sure information matches.
* Responsible for Ansell US employment verifications.
* Create and calculate overtime adjustment payroll reports (e.g. bonus payrolls)
* Calculate employee annual taxable value of company leased vehicles for W-2 reporting. Audit information provided from Finance. Provide to the Payroll Manager for year-end reporting.
* Prepare monthly and quarterly reports - Ansell Headcount Reports, Nevada Modified Business Reports, Bureau of Labor Service Reports for Arizona and Florida, and Washington Labor & Insurance Reports and ACA reporting.
* Assist with wage garnishments.
* Submit and create invoices in Basware program.
* Work independently or with the Payroll Manager and/or the Ansell Tax Dept. on tax related issues by identifying the issue, researching with various State and Federal agencies and ADP until the issue is resolved.
* Assist in the closing of an entity by contacting all States to properly close out SIT and SUI accounts when we no longer have employees under one of our entities.
* Review and process daily payroll department mail.
* Conduct research, analyse and resolve issues as they occur.
* Work closely with the Payroll Manager to implement new processes, system upgrades, testing and enhancements to existing procedures as needed. Assist with special projects.
* Work closely with the Ansell Tax Dept. to coordinate needs of both the Tax Dept. and the Payroll Dept.
* Provide Ad Hoc Reporting as needed.
* Maintain employee confidence and protect payroll operations by keeping information confidential.
Skills and Abilities
* ADP experience preferred.
* Oracle experience preferred.
* Must be organized, with strong follow through.
* Ability to communicate effectively with all levels of management and entire employee population.
Qualifications
* Bachelor's degree or equivalent proven experience in a Payroll Coordinator/Specialist or similar role.
* 3 years' experience with a thorough knowledge of payroll administration. Including in-depth understanding of all rules, regulations, processing procedures, accounting methods and control systems.
