JOB SUMMARY:
Primarily responsible for answering multiple phone lines and directing callers and guests to various departments. Additionally, this person supports the overall office with billing, auditing, sorting, filing of invoices, and assisting with the mail. Exceptional service to external and internal customers is critical to the success of a receptionist.
ESSENTIAL JOB FUNCTIONS:
1. Operates multi-line telephone system to answer, screen and forward calls to the appropriate person, providing information and taking messages and a pleasant and respectful manner.
2. Matches orders with invoices on a daily basis and mails and/or faxes invoices to customers as requested.
3. Transmits information or documents to customers, using computer, mail, or facsimile machine.
4. Promptly and politely greets and welcomes all visitors and guests entering establishment, determines nature and purpose of visit, and directs or escorts them to specific destinations when Office Supervisor is absent.
5. Participates in accomplishment of continuous improvement objectives for the department. Participates in the identification of problem areas and development of resolutions to address them.
6. Completes all paperwork and maintains all files associated with the position.
7. Maintains satisfactory performance and attendance.
8. Performs other tasks as assigned by supervisor.
9. Understands the Harassment policy of the company and is responsible for its application in all aspects of employment.
10. Participates in training and is accountable for learning the material and information.
11. Performs job in a safe manner by adhering to all safety policies and procedures.
MINIMUM JOB QUALIFICATIONS:
1. High school diploma or GED preferred
2. Minimum of 1-year general office experience.
3. Proven excellent oral and written communication skills in English. Bi-lingual a plus.
4. Good clerical abilities including filing, spelling, and basic math.
5. Computer skills including database management, Word, Excel, Outlook and Windows.
6. Ability to handle disruptions to daily schedule, high volume of calls in a fast-paced environment.
7. Flexibility – ability to effectively adapt to change and thrive in a stimulating, hectic work environment.
8. Ability to perform job functions in a positive, courteous, and professional manner.
9. Must have exceptional communication and time management skills.
10. Ability to perform duties with minimal supervision or guidance.
Job Type: Part-time
Pay: $14.00 - $16.00 per hour
