What are the responsibilities and job description for the Administrative Assistant III position at AOEETT?
We are a Training and Apprenticeship program located in Palmer looking for an experienced Administrative Assistant. Applicant is expected to have exceptional work ethic, communication skills, attitude and a desire to learn.
Duties include:
o Petty cash tracking
o Track equipment parts numbers and cost by equipment in AMS
o First line back-up to answer phones when Admin Assistant I is not available.
o First line back-up to greet people as they walk into the office if Admin Assistant I is not available.
o Take class registrations when Admin Assistant I is unavailable.
§ Check hours that qualify an individual for training.
o Advertise for apprentice applications.
o Receive applications during Apprenticeship Application period.
o Answer questions pertaining to the application process.
o Handle confidential information, making sure all paperwork is included in application.
o Handle money and give receipts.
o Keep track of application numbers and corresponding monies to those numbered applications
o Assist in entering applicants into AMS.
o Generate and mail apprentice interview letters.
o Quickbooks
§ Code/Enter Invoices
§ Enter Payroll
§ Print Checks
§ File all accounts payable and payroll.
o STEP Grant
§ Collect STEP applications from members.
§ Create and maintain STEP participant files.
§ Enter participants into State Website
§ Provide requested information to state for STEP.
Experience: BA / AAS or equivalent experience and 2-4 years admin or office experience and 2 years accounting experience preferred
Hours: Monday – Friday 8:00 am -4:30 pm
Pay range: $22.00/hr. to $33.00/ hr. DOE.
