- Greeting and welcoming guests as soon as they arrive at the office, offering hospitality and a positive first impression.
- Directing visitors to the appropriate person and office, managing sign-in procedures and security protocols.
- Answering, screening, and forwarding incoming phone calls and emails, ensuring professional communication.
- Maintaining office security by following safety procedures and controlling access via the reception desk.
- Handling daily administrative tasks including scheduling meetings, managing calendars, and coordinating front-desk activities.
- Distributing correspondence and redirecting emails to the appropriate points of contact.
- Performing clerical duties.
- Assisting with inventory control of office supplies and placing orders when necessary.
- Supporting the sales team by handling queries from clients and providing assistance with sales-related documentation or reports as required.
- Organizing travel arrangements for senior managers.
- Coordinating with HR to update records of office expenses and costs.
- Assisting in the preparation of regularly scheduled reports.
- High school diploma or equivalent; Additional certification in Office Management is a high plus.
- Proficiency in Microsoft Office Suite.
- Proven work experience as a Receptionist, Front Office Representative, or similar role. * Hands-on experience with office equipment (Fax machines, printers. etc.).

- Excellent written and verbal communication skills.

- Excellent organizational skills and the ability to multitask, effectively and efficiently.
