Office Administrator
We are seeking a reliable and efficient Office Administrator to join our team. The ideal candidate will be responsible for overseeing and coordinating day-to-day office operations, ensuring smooth running of administrative functions, and providing support to various departments within the organization. The Office Administrator will play a crucial role in maintaining an organized and productive work environment.
Responsibilities:
Manage and maintain office supplies inventory by checking stock to determine inventory levels, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
Coordinate office activities and operations to secure efficiency and compliance with company policies.
Assist in the onboarding process for new employees, including preparing workspaces, organizing orientation materials, and facilitating training sessions.
Handle incoming and outgoing correspondence, including mail, emails, and phone calls, and redirect as necessary.
Maintain electronic and hard copy filing systems, ensuring accurate and timely document management.
Schedule and coordinate meetings, appointments, and travel arrangements for staff and executives as needed.
Assist in the preparation of reports, presentations, and other documentation as requested.
Provide administrative support to various departments, including data entry, drafting correspondence, and conducting research.
Assist with organizing company events, meetings, and conferences.
Address employee queries regarding office management issues (e.g., stationery, hardware, travel arrangements).
Requirements:
Proven experience as an office administrator, office assistant, or relevant administrative role.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time management skills with the ability to prioritize tasks effectively.
Excellent communication and interpersonal abilities.
Attention to detail and problem-solving skills.
Ability to work independently with minimal supervision.
Knowledge of basic accounting principles and office management procedures is a plus.
High school diploma or equivalent qualification; additional certification in Office Management or related field is a plus.
