Summary: ATS is currently seeking an Aerospace Program Administrative Coordinator. The candidate will require a high level of motivation, very strong work ethic, be detail oriented with interest in a highly technical field. Job Description: Administrative Coordinator duties will include the following duties at a minimum.

  • Maintains Federal Aviation Administration (FAA) Drug Pool documents as required
  • Acts as the program’s primary test proctor related to non-destructive (NDT) testing general and specific testing needs
  • Reports directly to Aerospace NDT Program Operations Mgr.
  • Works directly with the program’s NDT Group Lead on program, safety, regulatory requirements, and other related tasks
  • Performs daily customer billing and generates department purchase orders
  • Prepares weekly expense reports and time sheets for weekly leadership approval
  • Maintains NDT certification records under the NDT Program Mgr. and Responsible NDT Level III
  • Coordinates meeting facilities, student classrooms, helps support the needs for department new hire personnel related to lodging, internal coordination, and other required new hire needs
  • Works directly with customers related to billing, purchase orders and onsite ATS personnel
  • Generates monthly program, quarterly and annual department revenue reports
  • Tracks program’s equipment calibration, inspector certification requirement dates and helps coordinate initial testing, re-testing, annual surveillance and other related testing requirements
  • Assists in department field inspection scheduling with the NDT Operations Mgr. and NDT Group Lead
  • Generate spreadsheets, presentations, dictated documents, memos, etc.
  • 40 hour work week, typical hours Mon – Fri 7am to 4pm, may occasionally vary slightly depending upon program needs


Requirements & Preferences: Candidates must have the following credentials to apply and willing to perform the below duties.

  • Graduated with High School Diploma, GED or equivalent
  • 5 years Administrative Experience (equivalent experience may be considered)
  • Have strong retention and comprehension skills
  • Willing to travel occasionally to ATS satellite facilities and company subsidiaries
  • Work well with others in a team environment or independently
  • Be self-motivated
  • Have excellent communication skills
  • Have advanced computer skills (Microsoft Suite Excel, Word, PowerPoint, Project, Outlook, etc.)
  • Strong communication written and verbal
  • Meeting, travel and event planning
  • Utilize strong organizational skills
  • Be responsible for various program projects and their completion
  • Speak and write in the English language (bi-lingual a plus)
  • Must be able to pass ATS pre-employment drug, alcohol and background screening
  • Willing to work overtime as required
  • Exercise prompt and consistent work attendance
  • Able and willing to wear safety equipment such as masks, gloves, respirators, hearing protection, eye protection and other personal protection equipment
  • Attends Aviation regulatory, internal technical, safety and other programs related classes

Preferences:

  • Prior experience with blueprint interpretation
  • Bachelor’s Degree in Business or equivalent
  • Familiarity with aircraft or testing environments
  • Project Management experience

Responsibilities: (also see Job Description section)

  • Able to meet prescribed deadlines
  • Completion of all required inspection documentation in a timely matter
  • Perform various duties as assigned NDT Operations
  • Protect intellectual and physical company property
  • Prioritize under demanding conditions
  • Communicate at high level with other team members and NDT Management
  • Protection of issued communication and documentation equipment
  • Arrange for shipment of required tooling to jobsite and monitor tracking information
