Job Title: Receptionist
Department: Aquascape Construction
Reports to: Local Market Manager
Type of position: Hourly
FLSA Status: Non-exempt
The Receptionist is responsible for greeting visitors to the Aquascape corporate office, answering phones and doing administrative work for local market team. This position is responsible for providing superior customer service ensuring that all customers have a positive first impression.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Reception/Hospitality
- Greet all visitors
- Answer phone calls coming in on general corporate line(s) as needed
- Monitor and redirect emails coming into the aquascapeinc.com general email box
- Contact employee that they have a visitor, escort guest to proper meeting area when necessary
- Follow company procedures for visitors to the building, including visitor check-in procedures and providing visitor name badges, temperature checks if warranted
- Offer visitors water or coffee, as appropriate
- Maintain cleanliness of reception area
- Work with retail store manager to coordinate decorating of reception area and retail store for seasons/holidays
Administrative support
- Sort, deliver and meter mail, as requested
- File
- Schedule consultations
- Enter orders in Epicor ERP computer system
- Send emails and respond to email inquiries
- Assist in scheduling material purchases with rock and mulch vendors, as needed
- Assist in tracking inventory and completing inventory reconciliations
- Assist with Construction Department employee expense reports
Customer Care
- Make follow up customer satisfaction calls after service and construction installs
- Respond to customer questions and concerns with speed and professionalism
- Provide world-class customer service to customers on the phone
OTHER DUTIES AND RESPONSIBILITIES
- Perform other duties as assigned
- Participate in company events, including but not limited to Pondemonium and Water Garden Weekend
REQUIRED EDUCATION/EXPERIENCE/PROFICIENCIES
- Ability to work independently, multi-task and follow-up with others when required
- Basic computer skills – Excel, Word, Outlook, Power Point
- Friendly outgoing personality
PREFERRED EDUCATION/EXPERIENCE
- 18 years or older
- Physical activity requiring bending, reaching, pushing, pulling, walking, and standing as necessary throughout the day
- A love for people, nature, water, animals, fish, plants, gardening and being a part of an amazing team
