Description:
The Event Marketing Coordinator supports Client Events and Experiential team with event-related projects and tasks during the planning and execution for events and activations.
• Support and assist with large-scale event logistical planning, including management of invite lists, hotel blocks, complex travel arrangements, credential distribution
• General on-site event support to include: set-up and load-in, staffing during events, (e.g., check-in, as a brand ambassador, logistical support, etc.) and assist with post-event strike
• Provide day-to-day support to the Experiential and Event Team Members that includes, but is not limited to, scheduling meetings, developing agendas, disseminating meeting recaps and maintaining records/tracking grids
• Process invoices, expense reports and POs, including vendor management/setup, tracking payment schedules and ensuring timely payment
• Manage warehouse inventory, mailings, and shipping logistics
Basic Qualifications
• Minimum of 1-2 years of event coordination, production or equivalent experience
• Strong PC proficiency including: Mac, Microsoft Office, Google Docs
• Demonstrated organizational, planning and time management skills
• Detail oriented and organized in thinking and execution to maintain efficient office, files, database, and information
• Team player - willing to work with other employees at all levels and eager to work in a dynamic, fast paced environment
• Have excellent written and verbal communications skills
• Must be able to multi-task and prioritize assignments on deadline
• Willingness and availability to travel locally as required
Required Education
- Bachelor’s degree and/or equivalent
Additional Information
- This role is Hybrid (Burbank/Glendale area) they don’t have a set schedule of days in the office/remote yet.
- NOTE: Possible Extension, Overtime required – mainly while on events – they need to have the ability to travel with team for events, usually local i.e. Anaheim and/or San Diego
