Responsibilities
Overview
Arcfield is looking for an organized, competent individual with great communication skills who is comfortable dealing with people and able to carry out administrative duties with accuracy and speed. The ideal candidate will be cleared (or able to obtain a clearance) at the Secret level; have experience running a busy office, preferably in a defense industry environment; be willing to dive in and investigate procedures, diagnose problems, reach out to coworkers for insight/information, and suggest improvements; be mentally flexible and understand that schedules or operational plans may be subject to last-minute changes; capable of assisting in the development and implementation of processes and procedures, and accompanying documentation.
Responsibilities
- Perform reception duties such as receiving and escorting visitors, coordinating security access, and receiving and distributing mail.
- Assist program personnel in shipping/receiving, cataloging, and storing of government and company purchased materials
- Liaise with the facilities organization, landlords, property management, building engineers, and external vendors to coordinate building maintenance, repairs, and resolve facilities issues.
- May perform light facilities services such as minor furniture changes, hanging whiteboards, spot patching / painting, and stocking supplies.
- Troubleshoot problem areas, resolving problems and making recommendations for solutions to problems.
- Operate office machines, such as photocopiers, scanners and personal computers.
- Purchase, organize, and manage office supply inventory
- Assist in establishing and implementing office procedures and practices
- Maintain the general appearance of the office, setting up for meetings and special events
- Carry out routine checks to ensure safety and security
- Assist with office layout planning and office moves
- Identify opportunities for process and office management improvements, and design and implement new systems
- Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports
Qualifications
- High School 2-4 yrs
- Self-starter with the ability to succeed under limited direct supervision
- Strong problem-solving skills and analytical abilities
- Ability to prioritize and resolve multiple, competing requests
- Excellent organizational and time management skills
- Proficiency in general office technology and Microsoft applications
- Proven experience working in a professional office environment
- General handyman abilities a plus
- Great team player
- Must be able to obtain and maintain a Secret security clearance
