The Accounting/Administrative Assistant is a full time position, 40 hours a week on site. The main responsibilities of the job are maintaining office operations, accounts receivable/payable, and supporting the HR/Office Team in all business and activities. The position is best suited for an independent worker who thrives in a support capacity, is sharp with quickbooks and accounting, and values working within a small team.
Requirements preferred but aren't limited to:
- First point of contact for external visitors and callers. Answer all calls, greet visitors, and assure they are directed to appropriate parties.
- Manage all incoming mail.
- Order and maintain supplies for the office.
- Generate and distribute Account Receivables communications. File and retrieve documents in online company Google Drive.
- Assist with all Accounting needs as directed.
- Set up the budgets and job tracking for the Project Managers
- Organize and track all gas receipts for fleet trucks on job sites.
- Generate reports for Project Managers/Management team.
- Assist Project Management team and Field Supervisors with special reports and various tasks as needed relating to payroll or expenses.
- Assists with obtaining vehicle registrations and insurance documentation for the fleet vehicles.
- Sort and file incoming documents from Accounts Receivable email inbox.
- Complete miscellaneous office tasks: scanning all receipts, invoices, shredding, filing, scanning, shipping, and mailing.
- Monitor, edit and provide status reports on timesheets each week. (Monday)
- Assist Purchasing Dept. with Subcontract and Change Order updates.
- Sort Vendor/Expense checks to be paid or distributed to Vendors/Contract employees/Job Sites.
- Enter reimbursement receipts/gas reimbursement/Amex expenses including monthly reconciliation
- Regularly stock kitchen items and place Sam’s Club/Wal-Mart orders as needed.

- Minimum of associate degree in administrative or business management or at least three years of related experience in a professional office setting
