WHAT YOU'LL DO

Oversee the coordination and execution of all in-theater event rentals. Assists the Director of Production in managing the in-theater capacity for events. Assists in Production Managing main stage productions when time permits.

MINIMUM REQUIREMENTS:

  • Experience and knowledge of all aspects relating to theatrical production and/or event management
  • Possess the ability to handle and prioritize multiple tasks in a fast-paced environment, to work collaboratively in a team setting, and to communicate effectively with a wide range of individuals
  • Proficient in Microsoft Office, specifically Word, Excel, Access & PowerPoint.
  • Evening and weekend work required

RESPONSIBILITIES:

  • Plan, organize and execute all event rentals booked within a theater space, using production equipment, and/or other assigned events.
  • Provide day-of in-theater event management for assigned events. Collaborate with events team as needed for activity in non-theater spaces.
  • Provide full-event oversight and planning for multi-theater events and designate appropriate staff for day-of management as needed.
  • Provide feedback on initial proposals and contracts for all in-theater and assigned events for contractual timelines, equipment, staffing, and resources before Events and Rentals Manager executes with client
  • Review capacity for proposed in-theater event bookings in consultation with Director of Production before space usage is approved
  • Lead theater walkthrough(s) with clients and/or vendors as needed
  • Submit all event-related invoices to business office for processing and report such expenses to Events and Rentals Manager. Review weekly timesheets with Production Manager for event-related hours and provide coding as needed.
  • Act as the primary liaison between event rental clients and the Production Department; make recommendations to clients based on their needs and Arena's available resources.
  • Coordinate the use of production resources (equipment and staffing) for all event rentals with the Director of Production. Arrange such use with specific production departments (sets, props, costumes, lights, sound). Oversee the hiring and supervision of production staffing for event rentals, in coordination with Director of Production.
  • Arrange outside vendors for event rentals as necessary
  • Prepare and send preliminary, draft, and final event production memos as needed.
  • Generate post-event reports and provide feedback to Events and Rentals Manager for contract/billing adjustments or future booking.
